Job Description
We are looking for an experienced intake specialist who can manage office correspondence, including answering phone calls and emails, arranging meetings and also qualify potential new clients of the firm. You’ll also assist the Client Services Manager with follow ups to consultations, onboarding of new clients and relationship management of current clients. Compensation:
$40,000 yearly
Responsibilities:
Screen and Pre-Qualify Leads
a. Asks a series of questions designed to determine if the lead is “pre-qualified” to purchase legal services from the Firm
b. Evaluates for the right type of matter, the right location, the right type of client and that there is no Conflict of Interest
c. Assesses the PNCs sense of urgency and motivation
d. Gathers critical information needed by the Salesperson to adequately prepare for the Initial Consultation
Explains the Firm’s Process for Intake and Engagement
a. Explains our process and how it benefits the PNC
b. Provides clarity about what the PNC can expect following the intake call and during the initial consultation
c. Overcomes any objections to scheduling an initial consultation
d. “Sells” the initial consultation (whether a fee is collected or not)
Schedules and Collects Payment for Initial Consultations
a. Schedules appointments on the Salesperson’s calendar
b. Collects and processes any fees associated with booking a consultation, when applicable
Initiates the Pre-Engagement Glidepath to Pre-Condition PNCs for Engagement
a. Sends a logistical email that provides details for attending the initial consultation
b. Sends a marketing email that gets the PNC excited to meet with us
c. Calls, texts or emails the PNC a reminder prior to the initial consultation
Captures Information in the Contact Relationship Management (CRM) System and Lead Tracker spreadsheet
a. Includes capture of information gathered during intake
b. Results of Conflict Check
c. Date and time of the initial consultation
d. Records any fees paid
Follows Up with PNCs that Do Not Schedule or Attend an Initial Consultation
a. Calls PNCs that did not show up for initial consultations to reschedule at the earliest convenience
b. Handles the rescheduling of initial consultations when PNCs call to cancel
Intake is responsible for updating the Firm’s CRM system and Lead Tracker spreadsheet to track incoming calls, leads qualified, consultations scheduled, referral sources, and other key metrics.
Prepares PNC Meeting folders for the Attorney/Salesperson conducting the Initial Consultation and New Client Welcome Packets for those PNCs who engage the Firm.
Qualifications:
Comfortable working with all Microsoft Office products
Applicants must be able to type 50 words per minute or faster
Candidates must have worked with legal software, case management, and docketing programs
Enjoys talking with customers and can communicate through verbal and written channels
