Position Summary/Purpose of Position:
This position will provide a full range of paraprofessional duties to assist the department with project controls and operational duties. This includes all functions related to: the preparation and delivery of the department’s monthly program briefing report using the university’s financial system (currently Kuali Financial System-KFS) and the department’s project management information system (currently e-Builder); functions related to the weekly adjustments of time allocation hours and the e-Builder entry of a project’s quarterly Project Management Expense Recovery (PMER) forecast; backlog functions related to the preparation and submission of all requisition types and contract change order requests. The incumbent will provide administrative assistance through interaction with an array of internal and external customers on behalf of associate/assistant directors, compiling project documents from project database systems, summarizing trends and facts of project data with tables and charts, perform basic mathematical computations with development of excel spreadsheets.
Minimum Qualifications:Education:
Bachelors degree.
Experience:
Two years experience in administrative staff work.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for the full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Required Knowledge, Skills, and Abilities:
Elementary knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information; of basic methods and techniques used in organizing and conducting studies and analyses or programs, procedures, and organizations; of basic analytical and statistical principles and techniques.
Skill in the use of office automation software and its application; in operating manual and automated office equipment.
Ability to establish and maintain effective working relationships; to present ideas and information clearly and concisely both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form.
Preferences:Preferences:
Experience in construction project accounting.
Experience in accounting and/or project controls, familiarity with project database and financial systems, and proficiency in using Microsoft Office Suite.
Competency with Microsoft Office Excel spreadsheets and Word.
Ability to work independently and handle multiple tasks and set priorities.
Ability to use a computer for email, correspondence, reports and automated project management systems.
Ability to handle sensitive materials with discretion and tact.
Ability to coordinate work with customer departments, campus administration, designers, other project managers, government agencies, and other service and support agencies.
Ability to function in a team-oriented environment, taking on new tasks with enthusiasm and energy.
Ability to work within a matrix supervisory organizational structure.
Additional Certifications:
Although driving a State vehicle is not a requirement for this position, travel by foot or vehicle may be required from time to time for meetings, deliveries, etc. across campus. If driving a State vehicle, incumbent must possess a valid class C Driver’s license or equivalent with fewer than six points.

Physical Demands
While position is not physically demanding, the incumbent must be able to perform well under strict deadlines. Position requires limited lifting of project drawings sets and boxes of project files. Incumbent should be able to lift up to 40 pounds. Position may be mentally taxing, requiring incumbent to move rapidly and easily from one assignment to another. Travel to construction sites may be needed which requires ability to navigate uneven surfaces.
