Job Description
Happy Box (happyboxstore.com) is hiring a Sales Assistant to support the growing corporate gifting line of business . This person will serve as the right-hand-person for the co-founders and the corporate gifting team: taking all notes, client communications, emailing follow ups, updating our sales pipeline software, quarterbacking campaign pitching, and other related administrative work. This is a unique opportunity in an up-and-coming startup company (named #53 on the 2022 INC 5000 Fastest Growing Companies in America List) where you will report directly to a co-founder and support all growth activities for the successful growth of this important line of business.
Location: This is a fully remote role, but must work EASTERN TIME 9am-6pm
Responsibilities
- Supports all administrative work as it relates to B2B sales/client efforts. Organizing and executing internal next steps as it relates to sales opportunities, including but not limited to updating our internal project management and sales pipeline tools. Supports building of timelines, reaches out to partners and vendors to information gather for pitches and sales opportunities. This includes daily updates to sales management tools and project management tools. Other tasks Include, but are not limited to:Joining sales calls and capturing accurate notes, follow ups for both internal and client-facing purposes; sharing internal notes to the team and external client-ready notes and next steps to the client
Data gathering, and data entry
Maintenance of B2B proposal status via internal channels (Slack, email)
Vendor communication to request samples, get pricing, internal communication to team mates to get info needed to complete tasks (i.e. working with design team to get design needs, etc)
Emails clients updates as needed, responds to client questions as they arise
Ability to translate client meeting to notes and kick off an official proposal brief internally
- Coordinate with the sales team and vendors: Act as a liaison between the sales team gift vendors. Facilitate communication, provide information or resources, and address any logistical issues that may arise. Gather item-specific information, including color availability, stock, turnaround time for proposal development and placing ordering with vendors as needed. Requesting samples as needed.
- Sales Proposal Support & Invoicing: Assist the sales team by providing administrative support by preparing accurate sales proposals with accurate pricing and organizing sales events or meetings as needed. Offer training on sales tools and be available to address any inquiries or concerns from the client or sales team. Responsible for pricing and coordination of corporate custom gifting proposals, including but not limited to:
- Ability to interpret and execute on client feedback with little direction
- Will need to work on client proposals, pricing slides and work with the internal team to ensure all client proposals are executed and client-ready on-time
- Creates timelines for clients and supports project manager in client communications / follow ups at all times
- Does product and service capabilities research for clients as needed
- Communicating with vendors to gather pricing and information for custom gifting proposals
- Gathering pricing for campaigns within given templates and within pricing templates/models
- Proofreads all proposals and ensures we are delivering on client ask: ensure decks are client ready, no typos, with proper approvals
- Invoicing clients accurately and sending invoice reminders
- Ensures all corporate gift campaign timelines and executions are met seamlessly and efficiently; flags any potential issues
- Ability to send proposals and communicate with corporate clients without supervision, clearly and professionally.
- Other Administrative Tasks/Requests
- May be asked to pull data or do data entry as pertains to clients and the corporate line of business - for example sales reports: data entry, data pull to create and analyze sales reporting for co-founders
- Assists on special projects as needed (i.e. competitive research, brainstorming, month end accounting reconciliation etc).
- Organizing files, creating processes and process documents
- Scheduling meetings on behalf of the Founders - book/move meetings based on co-founder/team availability and client requests
- May take on calls by themselves with clients, once onboarded
- Manage sales orders and contracts: Stay organized by efficiently drafting, processing and managing sales orders and contracts. Verify the accuracy of order details, coordinate with relevant departments for fulfillment, and ensure timely delivery or service activation. Monitor contract renewals to maximize customer retention.Providing client detail for legal contract development
Sending contracts via Docusign
- Maintain accurate customer records: Ensure that all customer information, including contact details, purchase history, notes, decks and interactions, is properly documented and up to date in our CRM (Hubspot).
Qualifications
- Must be a very strong note-taker - able to gather most important information for both internal use and for external client summaries
- Solutions-oriented and a critical thinker - a problem solver
- Ability to email clients in a professional manner
- Ability to work within prescribed guidelines without needing close supervision
- Close attention to detail
- Very strong written and verbal communication skills (professional email communication, organized emails and documents)
- Client-facing experience a plus
- 1-2+ years of professional, sales-related experience or sales assistant experience
- Must be extremely familiar with and proficient in Google Docs, Google Slides, Google Sheets, Google Drive, Slack
- Previous experience with maintaining/updating a CRM (Hubspot or Salesforce) a big plus
