University Business Administrators - Controller's Office
Responsibilities
This entry-level administrative support position is responsible for the administrative support services for the Controller's Office.
Administrative Support: Directly responsible for the basic administrative support duties in the areas of customer service, purchasing, accounts payable, and general office administration of the Controller’s Office with supervisory oversight and direction. Coordinates scheduling appointments and space, events and trainings, archiving/destruction of records, department-wide memberships in professional organizations, travel arrangements, and processing of mail. Communicates routine university and departmental policies and deadlines. Ensures day-to-day support of Controller’s staff using basic knowledge of office administration.
Procurement: Applies basic knowledge of university procurement and accounts payable policies to provide procurement and P-card support; including the processing of requisitions, purchase orders, P-card purchases, ePRFs, contract renewals, and managing of office supply inventory. Serves as proxy on P-card purchases for Controller’s Office units.
Financial: Applies basic knowledge of budgeting and reconciliation preparation to backup the Controller’s Office Business Manager. Assists in oversight of the Controller’s Office Foundation funds with the supervisory oversight and direction.
HR Departmental Representative: Functions as HR Departmental Representative at a basic level. Monitors time entry and approval, verifies bi-weekly payroll reports, and processes routine HR actions. Processes routine HR compliance-related forms and maintains departmental HR files. Coordinates the routine review and update of position descriptions.
Employee Onboarding: Assists in the onboarding of new employees at a basic level with supervisory oversight and direction. Provides orientation to new hires on departmental processes and procedures. Assists in the development of recruitment and hiring practices policies and procedures.
Qualifications
Bachelor's degree and two years of experience, or an appropriate combination of education and experience equal to six years. (Note: post high-school education and/or experience may substitute at a comparable rate.)
Ability to establish and maintain effective working relationships.
Ability to communicate effectively verbally and in writing.
Ability to demonstrate effective customer service skills.
Ability to gather, interpret, report, and/or edit information.
Ability to perform accurately in a detail oriented environment.
Ability to prioritize and organize work assignments.
Knowledge of applicable computer applications and basic computer functions.
Ability to maintain accurate records and retrieve files from active or archive sources. Basic filing practices to include numeric and alphabetic systems.
Ability to perform assigned responsibilities with minimal to moderate supervision.

Anticipated Salary Range
Starting at $40,910 and commensurate with education and experience.
