Job Description
An award winning and highly successful real estate brokerage is looking for a full time, in-office, Executive/Administrative Assistant to support the Sales and Property Management team.
We conduct sales of residential properties in Colorado and manage individual residential rental properties for landlords (not apartment complexes). Real estate administrative experience preferred but not required, apartment complex experience ok, but not necessary.
Ideal candidate will already be familiar with AppFolio software, and/or KV CORE CRM.
Starting pay will be based on prior industry experience and familiarity with local industry regulations.
We are hiring for a real estate office assistant who genuinely desires to to help with Marketing, Advertising, Social Media, and CRM software management with the KV CORE, in addition to other various real estate office related duties as described below. Description: Work with the sales and property management team regarding general administrative office duties; including but not limited to communication with tenants, tenant relations, coordinating utility transfer and billing, communication with HOAs, following checklists for all files, and continue to improve upon the checklists. Additional duties will include: manage and improve tenant and landlord communication, purchase office supplies and office equipment, establish and maintain database management, scanning and uploading documents to the cloud based system, and office administration. Various administrative tasks including reviewing schedules, preparing agendas, participating in meetings, answering phones, facilitating communication between clients and team members, taking minutes, etc. Support agents, staff, and other parties with documentation, and regularly follow up on file management. The emphasis for this position is marketing the brokerage's properties for sale and for lease on various real estate portals and public facing websites. You will also create and manage marketing material for use in sales and business development activities. You will also assist the Transaction Coordinator with the residential transactions; ie: follow checklists for all transactions, and continue to improve upon the checklists. Coordinate everyone involved in the under contract transactions including; title closers, lenders, lender assistants, inspectors, appraisers, surveyors, financial advisers, legal counsel, real estate agents and assistants. Coordinate and schedule vendors such as stagers, photographers, handymen, cleaners, licensed repairmen, etc. Follow/improve the marketing checklist that includes; coordinating pre-marketing activities, order install + removal signs, social media posting, marketing creation. Manage and improve all client communication. Schedule residential real estate showings and be able to plan the best routes and overlapping times. Input new listings on the MLS, create showing instructions. Maintain all marketing outreach efforts. Establish and maintain client database management, lead generation tracking, lead follow-up, and office administration. Build our brand through website management, social media, marketing material creation and distribution, and manage events
While not required, ideal candidate will already be familiar with CTMeContracts, ReColorado, PPAR/IRES, Navica, with strong Social Media use on Facebook, Instagram, & LinkedIn, among others. Extensive CRM experience with KVCORE is REQUIRED. Starting pay will be based on industry experience and primarily KVCORE proficiency.
Qualifications: Real estate experience preferred but not required to apply. Proficiency in Word, Excel, Power Point or Canvas, Outlook, and basic web-based applications required. The ideal candidate will display exceptional communication, time management, organization, and customer service skills. High school diploma or GED required, some college experience preferred, not required.

Pay: $17.50 - $21.00 per hour
