Youth Ministry Administrative Assistant
JOB DESCRIPTION SUMMARY:
The Youth Ministry Assistant is part of the Youth Ministry Department (aka “3CYouth”) within the Family Life Zone. This position reports to the Pastor of Youth Ministry. The position provides administrative and logistical support for the Youth Ministry. This is a full-time (40hr/week), hourly (non-exempt), support-staff level position with benefits.
SPECIFIC RESPONSIBILITIES:
General Office Duties:
Provide general administrative support including, but not limited to: scheduling appointments and meetings, creating forms, submitting deposits, processing purchase orders and check requests, making copies, running errands, and making/returning phone calls, emails, and other correspondence.
Supplies – manage and maintain snack/drink inventory for 3CYouth kitchen.
Database – maintain and create systems within the database that allow for effective coordination of events and ministry programming.
Prepare and review monthly credit card and expense reports, and participate in tracking and reconciling program expenses.
Innovate strategies to manage ministry processes through automated systems as much as possible.
Department Support:
Serve as event coordinator for special events; facilitating systems for registration, payment, reservations, ordering apparel, requesting checks, etc.
Update and maintain a seamless and effective check-in process for youth ministry gatherings.
Data Management - utilize Microsoft Excel and Google Sheets in conjunction with church database to capture and coordinate various aspects of youth ministry data
Communications - work with the Communications Department to produce high-quality content (graphics, pictures, videos) for gatherings, events and publications.
Volunteer Support - process new volunteer applications, coordinate and communicate volunteer schedules, and train volunteers on database usage and roster management.
Collaborate with the Youth Ministry team to creatively implement vision and strategies that lead teens to become lifelong followers of Jesus Christ.
Other duties as assigned by the Pastor of Youth Ministry and Youth Ministry Associate.
Schedule & Meetings:
Office Hours: Keep regular office hours with some flexibility.
Anticipated schedule: Sunday 5-8:30pm, M/T/Th 8am-4:30pm, Wed 10am-8:30pm, Friday/Saturday off with occasional special events as requested.
Meetings: Attend all required staff meetings and retreats (Weekly Devos & Prayer, Monthly Staff Luncheons, Annual Retreat, etc.).

Character
A Christ honoring life marked by personal holiness, prayer, bible study, spiritual and emotional maturity and increasing dependence on the Holy Spirit (Titus 1:6-9, 1 Timothy 3:1-7).
Unquestionable integrity specifically in areas of handling finances, relationships and time management.

Competency
Excellent computer skills and proficient in Microsoft and Google Suite/Drive.
Experience in utilizing database programs to accomplish departmental goals and improve efficiency.

Able to effectively prioritize and multitask projects and tasks.
Solid people skills and effectively communicates with and relates to people of all ages.
Comfortable in a multicultural and interdenominational environment.
