Certified Public Accountant, located in the Bay Area, CA, is seeking executive administrative assistant for approximately 15 hours per week, with increased hours up to 40 per week during busy tax season, January-April. We are looking for someone who has a proactive mindset; the ability to anticipate and address issues before they become problems, and who has the judgment to make decisions or direct items to management’s attention where it is needed. An energetic, detail oriented, friendly person who will play a key role in the administrative infrastructure of our small CPA firm. The candidate should have experience working with a CPA or Accountant.
Responsibilities:
- IT capabilities to troubleshoot and resolve computer, email, etc. issues.
- Research and implement software for streamlining existing procedures.
- Reviews CPA emails daily and responds accordingly.
- Maintains calendar, sets appointments.
- Contact (email, telephone, text) with new and existing clients.
- Onboards new clients.
- Maintains spreadsheets, databases, CPA templates.
- Proactively prepares Sales Taxes Due quarterly spreadsheet and reminders to clients.
- Proactively prepares Quarterly Estimated Taxes Due spreadsheet and reminders to clients.
- Tracking clients in Drake and client documents in Dropbox and related work.
- Other projects as assigned by CPA.
Skills:
- Schooling or work experience in a CPA or Accounting firm.
- Expert knowledge of Microsoft Office (e.g., Word, Excel, Outlook.)
- Drake software experience a plus.
- Accuracy in entering financial data.
- Ability to multi-task and deal with many different clients and types of businesses.
- Customer service oriented.
- Detail oriented and accuracy required.
- Well-spoken, concise, and clear written communications.
- Willingness and ability to learn.
- Positive attitude.
- Self-starter.
- Ability to effectively apply analytical and problem-solving skills.
- General understanding of accounting practices and principles.
- Multilingual (Spanish) a plus.
Other:
- Office/Admin Management: 5 years (Preferred)
- Customer Service: 5 years (Preferred)
- Understanding QuickBooks Online & Desktop, General Accounting and Tax Preparation.
