Job Summary:
As an Operations Assistant in a Coaching Training Company, your primary responsibility is to support the operation and communication manager in running the operation of the day-to-day organization. You will work closely with various teams, including training, marketing, finance, and administration, to ensure the smooth functioning of the company. Your goal is to optimize processes, improve efficiency, and contribute to the overall success of the coaching training programs.

What you will do in this position:
- Develop and implement operational strategies to enhance productivity.
- Monitor and evaluate operational systems, making recommendations for improvements.

Responsibilities:
Operations:
- Develop and implement operational strategies and procedures to streamline processes and enhance productivity.
- Monitor and evaluate the effectiveness of operational systems and make recommendations for improvements.
- Ensure compliance with industry regulations and standards.
- Identify and address operational bottlenecks or challenges.
Team:
- Fostering a positive work environment and promoting teamwork.
- Set performance goals, conduct regular performance evaluations, and provide feedback and coaching to team members.
- Recruit, train, and onboard new staff members as needed.
- Allocate resources effectively and manage workload distribution.
Training Program Support:
- Collaborate with the training team to ensure efficient delivery of coaching programs.
- Assist in scheduling and coordinating training sessions, workshops, and events.
- Coordinate with trainers and facilitators to ensure they have the necessary resources and materials.
- Track training program progress and report on key metrics.
Process Improvement:
- Continuously review operational processes and identify areas for improvement.
- Develop and implement new procedures, guidelines, and best practices to optimize operations.
- Streamline administrative tasks, such as registrations, invoicing, and data management, through automation or system enhancements.
Vendor and Stakeholder Management:
- Liaise with external vendors, suppliers, and partners to ensure timely delivery of services and materials.
- Negotiate contracts, monitor service level agreements, and manage vendor relationships.
- Collaborate with stakeholders, such as clients or training program participants, to address their needs and resolve any issues.
Budgeting and Financial Management:
- Contribute to the development of the annual budget and monitor expenses to ensure financial targets are met.
- Track and analyze operational costs, identifying areas for cost reduction or efficiency improvement.
- Work closely with the finance team to manage invoicing, payments, and financial reporting.
Requirements:
- Bachelor's degree in business administration, operations management, or a related field (Master's degree preferred).
- Proven experience in data-driven roles and/or operations, preferably within a coaching education, products sales or service industry.
- Strong organizational skills, with the ability to manage and prioritize multiple tasks effectively.
- Excellent communication and interpersonal skills to collaborate with different teams and stakeholders.
- Analytical mindset and problem-solving abilities to identify and address operational challenges.
- Proficiency in using productivity tools and software, such as project management systems, CRM software, or database systems.
- Knowledge of coaching and training methodologies is a plus.
Job Type: Full-time
Pay: $40,000.00 - $50,000.00 per year
