Job Description
Responsibilities include providing a welcoming presence to those who call or come to WestMass ElderCare. Included in the responsibilities are processing the Agency mail. Provides clerical support as requested to the Personal Care Management Program
Essential Duties and Responsibilities
1. Presents a spirit of hospitality to all who call or visit.
2. Graciously receives all visitors and notifies the appropriate person of the visitor’s arrival.
3. Receives and routes all incoming calls to the appropriate person.
4. Answers all incoming calls as soon as possible.
5. Records and accurately delivers messages to the appropriate staff persons.
6. Assists with training back-up receptionists.
7. Responsible for processing incoming and outgoing daily mail and bulk mail.
8. Distributes incoming faxes to mail boxes.
9. Responsible for postage machine maintenance and supplies.
10. Responds to request for alphabetizing, collating, stuffing envelopes, etc. while at Reception Desk.
11. Provides clerical assistance to the Personal Care Management Program i.e., filing, compiling materials, data entry etc.
12. Maintains a supply of all PCM forms.
13. Performs other work related duties as requested that are within the scope of the responsibilities of this position. This includes assisting with the responsibilities of other clerical assistants as necessary.
Knowledge, Skills and Abilities Required
· Ability and willingness to support the goals and policies of WestMass ElderCare.
· Clerical skills including: accuracy in communications, e.g., spelling, some typing skills; ability to operate office equipment, e.g., copy machine, fax machine, and computer.
· Possesses good telephone skills, i.e., speaks clearly, ability to listen and sort out important information.
· Must have the ability to understand and follow Agency procedures that relate to the Reception Desk.
· Must have the ability to hear telephone conversations. (With or without adaptive equipment.)
· Possesses initiative and self-direction.
· Possesses the ability to be attentive to details and capable of accurate work.
· Possesses the ability to effectively communicate orally and in writing.
· Possesses the ability to organize, prioritize and work with minimal supervision.
· Has the ability to effectively cope with a variety of personalities and other stress provoking factors.
· Must be able to work effectively in a changing environment.
· Must be able to maintain regular attendance.
Working Conditions
· This is full time, 35 hour per week position.
· The hours are 9:15 am – 5:15 pm
· Generally will be at the Reception Desk Monday through Friday 1:00 pm – 5: 00 pm.
· 5:00 pm to 5:15 is dropping off all outgoing mail at the Holyoke post office.
· Flexibility with schedule is important.
· Generally busy office area with times of numerous interruptions.
· Must be able to sit for long periods of time.
· Position may involve lifting up to 20 pounds.
Job Type: Full-time
Pay: From $15.26 per hour
