Bryson Sales & Service of Washington is seeking a full-time Accounting/Sales Admin Assistant to support its accounting and sales departments.

Accounting Assistant Responsibilities (1-year minimum experience required):
- · Process all accounts payable paperwork, confirming validity of vendor invoices and inputting data into accounting system to ensure all invoices are paid accurately and timely
- · Follow-up on invoice discrepancies as necessary.
- · Answer accounts payable and receivable phone inquiries and follow-up on any issues.
- · Maintain all accounts payable and receivable files, including requesting new account documentation.
- · Ensure all invoices, cash receipts, credits, and other adjustments are accurately entered into customer accounts each day.
- · Prepare customer payments for deposit and maintain file of check stubs & copies.
- · Process daily credit card sales
- · Monitor A/R aging schedule to ensure payments are applied correctly and accounts are accurate.
- · Mail/fax/email invoices and statements to customers per established procedures
- · Following Bryson Sales and Service credit policies, assist Accounting Manager in handling delinquent customer accounts, including phone calls, sending letters/faxes, and maintaining a record of all contact.
- · Perform other assigned duties on an occasional basis that are in the best interest of the company and/or employee.
Sales Admin Assistant Responsibilities (experience not required):
- · Enter all bus sales orders into our software program so they are available for sale, service and warranty work.
- · Verify order accuracy and submit required documentation to OSPI
- · Handle all required titling and licensing of vehicles sold, as well as Bryson’s vehicle fleet.
- · Maintain accurate records, electronic and hard copy, of all buses on-site and sold through our dealership, per state requirements.
- · Coordinate all necessary local bus pick-up and delivery, ensuring compliance with DOT and FMCSA regulations
- · Assist in maintaining the customer database of all mailing lists, physical and electronic.
- · Prepare reports for weekly management meetings.
- · Assist with incoming phone calls.
- · Perform other assigned duties on an occasional basis that are in the best interest of the company and/or employee.
Requirements:
- · EXTREMELY accurate, organized and detail oriented.
- · Able to successfully function in a fast paced, deadline driven environment
- · Excellent oral and written communication skills
- · Capable of working independently and within a team
- · Ability to interact professionally across all departments within the company as well as with customers, vendors and general public.
- · Able to learn and utilize RIMSS accounting software program
- · Proficient in Microsoft Office Suite (Word, Outlook, Excel)
- · Able to plan, prioritize and complete projects within deadlines
- · Minimum of 1 year of accounts payable and accounts receivable experience in an office environment
- · Experience in, and knowledge of, legal requirements relating to WA vehicle licensing preferred, but not required
- · Able to understand and implement DOT and FMCSA regulations as related to our drivers
- · Valid driver’s license with a clean driving record (21 years or older due to insurance)
Position is full-time, Monday-Friday 7:00 a.m. to 4:00 pm. Wage is DOE, plus benefits. Benefits include PTO, medical, dental, vision, 401k, & FSA/HSA upon meeting eligibility requirements.
