Administrative Assistant and Accounts Payable Specialist
Position Summary:
The Administrative Assistant and Accounts Payable Specialist position at the Hitzfield Group is an entry level position on the accounting and administrative side of our business. Reporting directly to the Senior Accountant your primary responsibility will be providing administrative support to accounting, management, and operations. You will support managers and employees through a variety of tasks related to organization and communication. You will communicate via phone and email ensuring that all accounts payable and administrative duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities include but are not limited to the following tasks and duties:
- Processing and filing daily timesheets and other electronic and paper filings.
- Stamping and distributing incoming invoices and packages, process outgoing mail.
- Sending and Tracking Waivers and second requests.
- Processing and mailing checks and obtaining W-9s as needed.
- Answering the phone, screening, directing, and taking messages as needed.
- Processing new contracts, subcontracts, and closeout requests.
- Process prequalification and credit requests as needed
- Ordering office supplies and handling corporate vendor relations.
- Special projects for management team
- Tracking safety data for audits.
- Tracking of resumes and interviews with candidates for hire.
- Communicating professionally and effectively with vendors and employees regarding inquires and notifications.
- Attending company meetings as required and performing other duties as assigned.
Job Requirements
This is an entry level position requiring at least one-year prior experience in Administration and Accounts Payable, preferably in the construction industry.
- Detail orientated and able to work in fast paced environment
- Proven administrative and accounts payable experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Proficiency in MS Office
Physical Effort
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other locations using various modes of private and commercial transportation; and to verbally communicate to exchange information.
