Job Description
Reporting to the Director of Advancement Services and Prospect Research, the Data Entry Specialist will oversee data entry and integrity in the Advancement Office’s alumni and donor database. The primary responsibility of this position is to enter and update various types of data, ensuring its integrity and reliability. This role requires strong attention to detail, excellent organizational skills, and the ability to work with speed and accuracy.
Duties and Responsibilities:
Accurately enter and update various types of data into Iona’s alumni and donor database.
Review and cross-check data entries for errors, inconsistencies, or missing information. Validate data accuracy and completeness by identifying and correcting errors, inconsistencies, or missing information.
Regularly update and maintain the integrity of the database by identifying and correcting errors, performing data clean-up tasks, and eliminating duplicate entries. Ensure data is stored following all data protocols and policies in place.
Conduct regular quality checks to ensure data accuracy, completeness, and consistency. Identify and resolve discrepancies or issues.
Serve as a member of the Advancement Office’s Data Integrity Team and attend monthly meetings and strategy sessions on how to improve data quality and accuracy in the alumni database.
Handle sensitive and confidential information with utmost discretion and maintain a high level of confidentiality and data security at all times.
Collaborate with team members, supervisors, and other stakeholders to clarify data requirements, resolve discrepancies and ensure a smooth flow of information
Serve as a receptionist for the Office of Advancement by greeting visitors and managing the inflow and outflow of office mail and deliveries
As needed, support Advancement special events
Qualifications:
Previous database experience preferred
Must have a strong attention to detail
Ability to think critically, assess situations, and synthesize information
Proficient in using excel
