Job Description
Emergent Risk International is seeking an Executive Administrative Assistant. This is a full-time hybrid in-office role and is to be filled with an individual who can commute two days per week to our Newport, RI office.

We cater to the risk-focused departments of Fortune 500 companies and multi-national organizations, assisting them in broad spectrum risk identification and solutions to risk emanating from geopolitics, security threats, economic factors, or regulatory actions that may affect their revenue or jeopardize their assets and personnel.
ERI’s Business Verticals:
- Online Platform: We offer a subscription-based online portal that provides a workspace environment for strategic intelligence analysts, combining ERI’s expert analysis with hundreds of curated datasets and our suite of data visualization tools.
- Embedded Analyst Services: We support our clients with embedded analysts, full- and part-time, short- and long-term. Our embedded analysts work directly for our clients, allowing them to employ intelligence professionals trained to ERI’s strict standards of competency and continually professionally developed by ERI’s senior leadership, armed with access to ERI’s proprietary tools and deep backbench of in-house subject matter experts.
- Assessment and Analysis: We provide our clients with daily, subscription-based, and bespoke geopolitical and threat intelligence services.
- Training: We train intelligence analysts to serve effectively in corporate environments. Our training offerings include a focus on tradecraft and tools that drive more efficient and effective analysis. We offer a range of courses to address specific levels of experience and need.
- Consulting: We help companies develop and improve their intelligence programs, providing end-to-end support, from assessing needs and providing analysis to recruiting and hiring highly qualified candidates.
Roles and Responsibilities: Executive Administrative Assistant
Business Administration
- Provide administrative support to senior leadership, working in-person with the CEO on a weekly basis to manage administrative tasks including mail handling, tax and administrative compliance communications.
- Management of executive staff calendars, in person and virtual meeting coordination, managing correspondence, incoming/outgoing mail.
- Manage executive inboxes and coordination to ERI filing systems.
- Coordinate complex domestic and international travel plans.
- Assist with creation of travel and itineraries, including agenda details and subsequent expense report submission process.
- Implement and improve internal filing systems both virtual and physical.
- Ensure that invoices and expense reports are processed in a timely and accurate manner.
- Assist with planning and coordination of company events and meetings.
- Compile and analyze information relevant to department initiatives and weekly scorecard.
- Prepare and analyze spreadsheets using Excel.
- Prepare, format, and edit highly professional PowerPoint presentations.
- Assist with creation and distribution of internal communications.
- Support communications with outside stakeholders and vendors as needed.
- Assist with maintenance of credit cards, business filings, Women Owned Business certification and other priorities as needed.
Procurement/ HR Assistance
- Provide back-up for Business Manager on procurement systems, invoicing, payroll systems and other business administration needs.
Management Reporting
- Update, improve and maintain database of materials.
- Coordinate quarterly executive meetings and reports, consolidate materials and archive records.
- Manage reporting templates and timelines.
- Assist in the coordination of monthly and quarterly reporting for management including interacting with various functional teams to ensure the timely receipt of requested data.
- Prepare and manage presentations.
Required Qualifications:
- Associates degree or higher.
- Minimum 7 years of executive administrative experience.
- Highly experienced with business reporting tools including core functions of Microsoft 365 including Excel, PowerPoint, word, SharePoint, Visio and Teams.
- Tech savvy and able to effectively understand and utilize multiple technology platforms and systems as needed.
- Highly organized with a strong attention to detail.
- Initiative driven, able to learn the business anticipate and respond to executive leadership needs daily.
- Capable of working collaboratively with a globally dispersed, mostly remote workforce.
- Able to spend two days in the office each week in Newport, RI.
Remuneration
This role will be a full-time salaried role. Pay is commensurate with experience starting at $50k per annum with a maximum of 70k per annum offered depending on experience level.
