Job Description
The office manager is responsible for all logistics necessary for staff to advance the mission and purpose of the Immigrant Justice Department, including daily office operations, events and actions, and off-site services as necessary. The office manager is responsible for organizing and coordinating office administration and procedures, to ensure organizational effectiveness.

Primary Job Duties and Responsibilities:
- Oversees the daily operations of the department:
- Monitor office supplies and ordering new supplies as needed
- Serve as liaison between IJ department and administrative departments, including Information Technology, Human Resources, Operations and Maintenance
- Organize and participate in department meetings
- Maintain physical and digital department documents
- Make travel arrangements
- Policies and procedures:
- Support the design and monitoring of processes and procedures, ensuring consistent implementation
- Document operational procedures and policies
- Finance and budget duties:
- Track and monitor department budgets and spend down, including submission of vendor invoices, preparing expense reports, and ensuring the correct coding of expenditures
- Assist with management of contracts, including maintaining of vendor files
- Event coordination:
- Coordinate and plan program events in collaboration with program staff and managers
- Secure all services and event logistics
- Establish and maintain relationships with vendors
- Attend and manage events, and address potential issues that may arise
- Close out events, including vendor payments, debriefing and reporting
Essential Qualifications and Skills:
- Possess at least 3+ years of relevant administrative experience.
- Experience with the creation and monitoring of budgets strongly preferred
- Excellent computer skills including proficiency with Microsoft Office, Slack, Salesforce and database management including report production and data analysis
- Is an effective listener and can communicate well across multiple platforms
- Organization and the ability to multitask to complete a wide range of tasks
Special Working Conditions and Demands:
- Willingness to work flexible hours; evenings and weekends occasionally required
- In-person minimum of three days a week
Salary Range: $60,000 - $70,000
