CONTEXT OF THE JOB:
The Chemistry Biology Interface (CBI) Program https://sites.udel.edu/cbi/ is seeking a highly motivated Administrative Assistant to oversee programming and training for CBI graduate students. The CBI program is a NIH funded, interdisciplinary environment focused on training students to be leaders in the field of human health. Candidates should be self-starters, comfortable with autonomy, and embrace opportunities to tackle new problems and challenges as part of a dynamic team. The candidate will be a member of the CBI operations team and will work closely with the program directors to implement and administer the vision, strategy, and goals of the program. The Administrative Assistant will help co-ordinate the seminar/workshop series, NIH progress reports, manuscript compliance, maintenance of the website and outreach activities. The Administrative Assistant will play a critical role in liaising among the faculty mentors and student mentees. In addition, the position will oversee the calendar of the Program Director, help with purchasing of lab supplies and managing the laboratory budget.
MAJOR RESPONSIBILITIES:
Assists the CBI Director in tasks needed for the CBI program to include communicating with students & faculty about rotations, the annual student proposal for supplies process, and selection of new students each year.
Coordination with UDs financial services and grants management professionals to help oversee the budget and reporting for the CBI Program
Keep detailed records to be able to prepare reports, presentations, & publications with the correct citations and branding.
Coordinate and schedule the weekly seminar series for CBI program.
Prepares regular progress reports for NIH under the direction of the CBI Program Directors in the NIH system.
Coordinates content updates to the CBI website by actively gathering information from faculty, staff, and students on a routine basis.
Processes purchases of group lab supplies and monitors financial transactions; uses Concur to file expense reports, and prepares up-to-date reports when requested
Regularly review and update purchase allocations for general supplies in coordination with the Grants Analyst.
Assists the CBI Director in scheduling meetings and special events as needed, as well as helping to maintain the calendar and coordinate any travel.
Send email communication out as needed to various groups on campus to support the needs of the CBI director.
Assists with proposal preparation as needed for both the CBI Training Proposal and Director’s Research Proposals
Manages the Web Presence (Webpage, Twitter, Linked-In for CBI Program) and keeps Director’s webpage up to date
Performs other job-related duties as assigned.
QUALIFICATIONS:
High school diploma or GED and two years of related experience.
Knowledge of federal grants or contracts administration.
Excellent verbal and written communication and time management skills.
Ability to organize and analyze data with attention to detail under deadline pressure.
Ability to use word processing, spreadsheet, project management, database, and presentation software.
Ability to work independently.
Strong organizational skills.
Ability to handle multiple tasks simultaneously.
Ability to make independent decisions and judgments.
Ability to interact well with people of all ages and diverse backgrounds.
