As a Virtual Bilingual Receptionist/Administrative Assistant, you will play a crucial role in our mission to provide top-notch estate planning to our valued clients.

Responsibilities:
● Serve as the Ambassador of First Impressions for our firm, providing professional and friendly customer service in English and Spanish.
● Answer and direct incoming calls, take messages, qualify new leads, screen calls, and provide accurate information when necessary.
● Manage the firm's virtual reception area, ensuring all inquiries are handled promptly and efficiently.
● Coordinate and schedule appointments, meetings, and conference calls.
● Assist with administrative tasks such as filing, data entry, and document preparation.
● Maintain client databases and records, ensuring accuracy and confidentiality.
● Collaborate with the team to support day-to-day operations and provide administrative support as needed.
● Act as a liaison/translator between clients and attorneys, facilitating clear and effective communication.
Requirements:
● Exceptionally strong and clear English and Spanish language skills (both written and verbal).
● Previous experience as a receptionist or administrative assistant is preferred, but not required.
● Strong interpersonal skills, with the ability to communicate effectively and professionally with clients, colleagues, and external parties.
● Excellent organizational skills and attention to detail, with the ability to multitask and prioritize responsibilities.
● Proficiency in using virtual communication tools and software.
● Self-motivated and proactive, with the ability to work independently and as part of a team.
● Desire to make a difference and have a positive impact on clients.
● Flexibility and adaptability to work in a dynamic and fast-paced environment.
● Knowledge of estate planning or legal procedures is a plus, but not required.
