Essential Duties and Responsibilities:
Coordinates the daily activities of the Flight Coordinators
Collaborates with base leadership: Program Directors, Lead Pilots, Clinical Educators
Maintains the Communications Schedule
Ensures proper staffing levels/coverage for all shifts
Ensures timecards are approved by staff and supervisors bi-weekly
Manages internal and external inquiries related to Guardian Flight performance
Recommends/Implements changes to improve efficiency and effectiveness of Flight Coordinator performance and systems or process efficiencies
Participates in the continued development/enhancement of communications software such as CAD, radio, satellite tracking and tele-comm equipment
Oversees department supply needs and ordering processes
Runs monthly staff meetings including collaborating on agenda with the Director of Communications, assigning a minute's takers and publication of meeting minutes
Identifies and ensures Communications Training Coordinator is afforded time in each staff meeting for event review/training topics
Identifies and ensures Communications Safety Rep is afforded 15-minutes per staff meeting to review pertinent company or industry safety topics
Ensures adequate staffing levels; coordinates and participates in Flight Coordinator candidate interviewing, selection and hiring processes
Conducts 1:1 interview with supervisors
Assists with the planning and execution of evacuation, PAIP and system outage drills
Flight Coordinator Supervision:
Delegate's assignments and holds Guardian Flight employees accountable for work completion
Develops individual Flight Coordinator talents to promote professional growth
Assist the Training Coordinator with Flight Coordinator training and continuing education
Ensures daily tasks, Flight Coordinator risk assessment is completed
Ensures participation in company Safety Management System
Prepares annual evaluations for Flight Coordinator Team
Carries out disciplinary action with oversight from the Director of Communications and Human Resources
Disseminates new information and manages problem resolution for the Flight Coordinator Team
Assist and Supervisor Post Flight Debrief meetings as needed
Carries out supervisory duties in accordance with company policy, accrediting agencies and applicable laws
Qualifications:
High School Diploma or Equivalent
Five years' experience as a Flight Coordinator/ Emergency Dispatcher preferred
In depth knowledge of Emergency Medical Services, healthcare systems and medical terminology
Demonstrated experience in the communications environment
Excellent proven verbal and written communication skills
Excellent proven public relations, interpersonal and customer service skills
Excellent decision making and problem-solving skills
Strong computer/software skills to include efficient utilization of Microsoft Suite
Requirements:
Ability to communicate professionally, effectively, and clearly
Maintains ongoing knowledge of Guardian Flight SOP's
Remains aware and understands the political environment both internally and externally
Ability to work within a strong team environment
Receptive, responsive and realistic when gathering and incorporating team, management or customer input.
