Position Title:
Executive Assistant to the Vice President for University Advancement
Job Description:
The Executive Assistant to the Vice President for University Advancement is responsible for ensuring a smooth, professional and efficient operation of a busy and fast paced Advancement office. This is a great opportunity for a recent graduate and/or an individual who would like to learn more about the operations of a dynamic Advancement office. Seeking an agile, smart and confident individual who is eager to make an impact!
Essential Duties and Responsibilities:
Act as a communications liaison between the vice president and all internal and external constituents
Maintain daily calendar, schedule appointments, meetings, conference calls, etc. Schedule, record, track, maintain and follow through with all the vice president’s appointments on and off campus.
Provide support where requested to other areas in the division as needed, such Alumni Engagement, Development and Grotto Operations.
Assist in event management as required.
Perform and provide support to the office to include files, records, and mail, telephone and equipment operations.
Edit and proofread all written materials which include, but is not limited to letters, correspondence and major gift processing documents.
Draft and prepare written responses to all gift acknowledgements, including major gifts and correspondence.
Research and make all travel arrangements for the vice president.
Supervise student workers and part-time summer students.
Other duties as assigned.
Job Requirements: Education, Experience and Skills:

Knowledge, Skills and Abilities
3 years administrative/office support/executive support experience, preferably in a higher education environment preferred.
Excellent written and spoken communication, interpersonal, and organizational skills.
Experience as an executive assistant or office manager required.
Strong MS Word, Excel, Outlook, and PowerPoint skills and HP software (Windows, Internet, Outlook calendar & email, Workday).
Familiarity and adherence to all the safety rules and regulations for the University Safety Policy which apply to the work environment.
Have a thorough knowledge of University academic policies and requirements.
Ability to set goals and work independently with minimum supervision.
Ability to work well under pressure and set priorities to meet established deadlines.
Be able to maintain strict confidentiality.
