Job Description
Since 2003, TideSmart has combined global competencies with local activations from our health, experiential, and insights business units, helping leading brands and thoughtful companies connect with their customers, stakeholders, employees, and communities. TideSmart operates on a unique 6-acre, eco-friendly campus in Falmouth, Maine.
We are currently seeking a full-time Business Services Coordinator. This is an entry-level office management and accounting position, reporting directly to the EVP- Business Services. The Business Services Coordinator supports a wide range of agency-wide administrative and accounting tasks.
Supervisory Responsibility: None
Primary Responsibilities:
- Manage front desk phone coverage
- Manage facilities supply inventories
- Process corporate payables
- Sort and process vendor invoices for payment approval
- Collect and assist in the processing of expense reports
- Management of large amounts of A/P data
- Maintain vendor files
- Perform filing and copying and other office duties
- Participate actively in the planning and execution of company events
- Assist with special projects as needed
Skills/Knowledge/Competencies:
- Strong research, problem-solving, mathematical, and analytical skills.
- Able to perform repetitive, data-focused tasks while maintaining a high level of accuracy.
- Proficient in data management using the Microsoft Office Suite.
- Tech-savvy with an aptitude for learning accounting processes, internal systems, and software.
- Strong communication and organizational skills.
- Maintains confidentiality.
- Self-directed, flexible, and motivated- able to meet deadlines, prioritize, and multi-task in a fast-paced, ever-changing agency environment.
Education/Experience:
- Associate's or Bachelor's degree in Accounting highly preferred.
- Previous experience using QuickBooks in an office environment preferred.
- Awareness of accounting and data management best practices and procedures.
- Some previous experience in high volume invoicing and data processing.
- Proficient in QuickBooks and Excel.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, headsets, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:
This is a largely sedentary role; however, some filing and other physical movement is required. This would require the ability to lift files, open filing cabinets and bend or stand when filing.
