About the Virtual Meeting Specialist
KAI is looking for an experienced Virtual Meeting Specialist based in the Metro Washington, DC area who can support developing an event from start to finish, from vision to completion. The perfect candidate is an independent self-starter who loves the challenge of exceeding the client's expectations. Reliability, flexibility and personal integrity are important to this position.
Essential Job Functions
Set up and provide technical support for webinars, virtual meetings and conferences
Coordinate with the digital media team to develop graphics and set up virtual meeting registration
Provide pre- and post-meeting support by monitoring registration systems and developing attendance reports
Maintain KAI’s high-quality standards throughout the entire virtual meeting process
Demands/Complexity
The position requires frequent communication and collaboration with the Vice President for Communications, Web Application Developers, Graphic Designers, Technical Writers, Project Managers, and support staff. The position is also responsible for adhering to established quality control and workflow processes. The position requires expert online event management to produce exceptional results when hosting virtual events and webinars. Must be able to demonstrate deep technical skills and understanding of the system and vendors that are used to support virtual events/webinars. This role addresses and troubleshoots all technology issues during virtual and online events, to ensure a seamless client and attendee experience, so the goals and objectives of the meeting are met.
The Virtual Meeting Specialist must be comfortable working in a challenging and dynamic environment and will be involved with many facets of assisting with the online event execution. Candidates will also need to demonstrate creativity in solving complex problems and have a proven track record of successfully working with event technology with highly advanced proficiency.
Demands/Complexity
The Virtual Meeting Specialist is responsible for producing high-quality, timely contract deliverables within budget. This individual will be assigned tasks that may at times be complex in nature with overlapping deliverables and deadlines. The Virtual Meeting Specialsit may exercise independent judgment, with work products subject to review by the VP of Meeting and Event Planning after completion of deliverables.
Interaction with Others
The Virtual Meeting Specialist will communicate face-to-face, by email, and by telephone with the VP for Meeting and Event Planning, as well as liaise with other members of the team, and other KAI staff and subcontractors as required. Interactions will include simple exchanges of information, coordination of activities, receipt of assignments and other instruction, and regular invitations to independent problem solving. The position may be required to provide training on a variety of web applications over the phone, via webinar, and face-to-face. This interaction reflects the quality of KAI products and must be professional and accurate at all times.
This role is a hybrid remote and on-site position, on-site required while hosting events. Some travel will be required.
Specific Job Skills
Creative problem-solving skills with the ability to perform in a high-volume, time sensitive/deadline-driven environment
Ability to follow established quality control procedures for webinar setup and technical support
Strong understanding of Windows and MAC operating systems
Able to communicate solutions to a variety of audiences, including the digital media team, project managers, and support staff
Detail and action-oriented, organized, and have the ability to multi-task.
Strong customer service skills, particularly working with non-technical audiences
Required Education and Experience
Bachelor’s degree in communications or related field required
Certified Meeting Planner, CMP, (required)
Certified Government Meeting Professional, CGMP (preferred )
Virtual Event & Meeting Management, VEMM (preferred)
3+ years of experience in a professional, client-facing role
Expert online event management skills
Adobe Connect, WebEx, GoToMeeting, Zoom or other webinar technology experience required
Preferred Experience
Experience with audio recording equipment and webcasting preferred (access to audio visual equipment highly preferred)
Web video editing experience preferred
