General Purpose: Become a member of the Accounting Team and assist the department’s Accountants in accounts payable and other day-to-day accounting functions for HOA and Special District clients to help meet all department deadlines.
ESSENTIAL DUTIES / RESPONSIBILITIES
- Review invoices, flag, research and clarify unusual or questionable invoices before entering invoices as necessary
- Review and reconcile vendor statements
- Process and/or schedule payments, based on available funds, using a variety of payment methods: paper checks, automatic payments, eChecks, and other payment methods
- Ensure all checks are signed by an approved bank signatory
- Scan and file records in the appropriate locations, whether hard copy or digital
- Establish and maintain relationships with new and existing vendors
- Correspond with vendors and respond to inquiries
- Review and respond to voicemail and emails within 24 business hours of receipt
- Maintain vendor files and provide supporting documentation for audits
- Apply accuracy and efficiency in practices and procedures
- Learn management software, analyze workflow processes, and recommend changes improving efficiency
- Support accounting team by performing additional tasks/duties as necessary
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
- Excellent organization, attention to detail and accuracy
- Flexibility and ability to adapt to daily changing direction and focus of tasks
- Provide excellent customer service via telephone, email, and in person contact
- Knowledge of governmental accounting regulations is a plus
- Perform a variety of general clerical duties including maintaining and filing records, verifying accuracy of information, and recording information
- Adhere to safe work practices and procedures
- Attend and participate in monthly staff meetings and related activities
EDUCATION AND EXPERIENCE:
- Associate’s Degree from an accredited college or university preferred or equivalent experience.
- Knowledge of accounting principles a plus
- Advanced knowledge of Microsoft Excel
- Prior Accounts Payable/Accounting experience
- Knowledge of metropolitan districts and/or homeowners associations a plus
LICENSES, CERTIFICATES, OR REGISTRATIONS:
- Valid Colorado Driver’s License
- Reliable transportation
MATERIAL AND EQUIPMENT DIRECTLY USED
- Must be able to operate a PC, use Microsoft Office Suite and Adobe Suite, learn management software, use: e-mail, calculator, telephone, fax machine, copy machine, and printer
WORKING ENVIRONMENT/PHYSICAL ACTIVITIES
- Workday is 9 hours per day (Monday - Thursday) then 7 hours every other Friday, and every other Friday off (80 hours every 2 weeks)
- Sit at a desk for up to 9 hours per workday
- Use a computer keyboard for up to 9 hours per workday
- Ability to lift up to 25 lbs.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
