Job Description:
Position Available: Administrative Assistant 1, SG-11, or Trainee 1, or Trainee 2, Line # 05644
Location: SUNY Old Westbury - Information Technology Services
Salary: $44,957.00 - $55,093.00 plus $3,087.00 location pay
Shift: Monday through Friday, 8:30 AM - 5:00 PM
Status: Permanent, Full-time

Duties:
According to Civil Service Standards performs a variety of tasks; interacts with students, faculty, and all levels of staff, and, most importantly, with many SUNY organizations such as the Council of CIOs, ITEC, SICAS, and with the strategic vendors of the College and reports to the Chief Information Officer (CIO). The position requires a high level and the right blend of organizational, communication, and budgeting skills. Manages/monitors the budget of three departments efficiently and effectively. Maintains and updates the considerable portfolio of IT Projects. Maintains constant communication with the Executives of the College and their assistants.
Duties include but not limited to the following; communicates instructions from CIO to staff. Coordinates and follow-up to meet deadlines, including monthly and quarterly reports. Manage the tickler system for staff projects/initiatives. Performs clerical duties such as filing, typing, and copying documents. Proofs CIO's and Deputy CIO's correspondence. Screens and transfers calls, takes messages and may respond directly on CIO's behalf. Arranges/schedules meetings. Maintains calendar and handle travel accommodations and expense voucher. Sorts, screens, and routes incoming mail in accordance with staff assignments.
Performs office functions regarding finances such as purchasing and maintaining an inventory of supplies. Manages timesheet workflow, including screening for correctness and forwards to CIO/Deputy CIO for approval, as necessary. Prepares documents for CIO and proofreads work before distribution. Documents may be prepared from notes and draft copies prepared by CIO. Documents may be letters, memos, spreadsheets, and presentations. Manage department's procurement needs by gathering quotes and utilizing Jaggaer to create and track purchase requisitions, purchase orders, receivers, etc.
Oversees the Asset Management database, confirms and verifies the entries. Oversees the Asset distribution for Faculty and Staff - Laptops, tablets, Workstations, Telephones. Prepares budget and monitors spending according to approved budget. Takes minutes for CIO and committee meetings. Utilizes tickler system to independently follow-up with divisional and campus staff to ensure projects completed by deadline. Reviews regular reports/invoices, obtain approvals where necessary and recommend approval by CIO.
Organizes and maintains office filing and archiving systems. Research problems, including data gathering, to obtain all necessary information to answer questions raised or to draft correspondence. Receives visitors and answers routine inquiries from students, staff, and faculty. Prepares spreadsheets, databases, and word processing documents. Create and maintain all office information in database, files, and reports using the various software programs available. Aids the CIO in managing the many priorities effectively. This position works independently and must organize, track, and keep up with the various day-to-day interactions to efficiently complete required tasks. Performs a variety of tasks and other related duties as assigned by the CIO or Senior Vice President.

The successful candidate must be reachable on the full-time, permanent Civil Service list for Administrative Assistant 1, or must have held the permanent title of Administrative Assistant 1 and are eligible to transfer, or: Appointment may be made at the Administrative Assistant 1 Traineeship level, (grade 8 or grade 10) leading up to Administrative Assistant 1, grade 11 title. Successful candidates interested in the Traineeship must have 1 year of service in a clerical title allocated to Grade 6 or higher (e.g., Office Assistant 1). Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology. It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
