Our Clinical Department is looking to hire a Medical Assistant-Float for our South office!*
*
The Medical Assistant-Float will assist in one or more of the following Clinical areas: Clinic Floor, Triage MA, Triage Support, and/or Prescriptions.*
Medical Assistant Float Essential Functions may include but are not limited to:
Medical Assistant (Floor) functions:
- Interviews patients for medical history, prescription changes, and other updates. Records changes in patient chart.
- Rooms and interviews patients. Records vital signs including height, weight, blood pressure, pulse, and temperature. Performs foot exams for diabetic patients.
- Downloads patient insulin pump data for physicians. Provides intramuscular and subcutaneous injections
- Assists doctors with biopsies including confirmation of facility, prepping biopsy, handing supplies and materials during procedure, cleaning and sterilizing tools, and ensuring the specimen is sent to appropriate facility.
- Charts notes in EMR system and corresponds with providers and coworkers via Taskman.
- Cleans work station, workup area, and patient rooms using appropriate germicidal wipes/solution; stocks and restocks all necessary supplies; cleans out expired drugs from sample closet.
- For new patients: prints and attaches medical records, collects and scans Review of Symptoms (ROS) and Health questionnaire.
- Follows appropriate opening and closing procedures including biopsy room prep, restocking, cleaning, shredding, and refilling paper. Also preps next day schedules and paperwork including chart covers, labs, etc. Contacts pathology lab for missing records as needed.
Prescription Specialist functions:
- Receives, reviews, and fulfills prescription requests from patients and pharmacies, reviewing the patient file for diagnosis, labs, and other pertinent information. Seeks provider authorization as needed. Informs patients of required follow up appointments.
- Provides 30-day maintenance prescription refills and drug samples as authorized.
- Answers prescriptions phone line; returns voicemails.
- Uploads prescription documents and logs all interactions into the electronic medical records (EMR) system.
- Updates pharmacy information in the EMR.
Triage Support Medical Assistant functions:
Prescription Prior Authorizations
- Answers the PA line; returns voicemails.
- Receives and processes PA requests from pharmacies and patients.
- Communicates with insurance companies and fills out PA forms including patient diagnosis, lab results, and justification for requested medication; works with provider to complete authorization.
- Administers the “plan exclusions” process, seeking new prescription from provider as needed.
- Communicates approvals and denials. Assists provider with the appeals process, including Letter of Medical Necessity.
- Stays up to date on insurance-approved medications and formulary changes.
- Provides samples and coupons to patients as authorized.
- Uploads PAs and logs all interactions in the EMR.

Labs Processing_
- Processes all labs received electronically or via fax. Links labs to the patient file in EMR. Enters lab results into flow sheet.
- Communicates errors and urgent abnormal lab results to the Triage Nurse/Triage MA.
- Provides remaining labs for appointments more than 30 days from the date to provider for mailing. Places labs for patients with return visits (RVs) within 30 days in the provider box, noting their RV and last visit.

CGMS/Insulin Pump Process_
- Orders pumps and CGMS for assigned location(s); completes PAs and coordinates delivery as needed.
- Completes CGMS initiations including insertion, patient training, removal, results downloads for provider, and cleaning/maintenance of devices.
- Teaches patients glucose meter use.
- Orders labs for patients as required by practitioner.
- Administers the pump denials process which includes Letters of Necessity.
- Uploads PAs and logs all patient interactions in the EMR.

Pump Specialist_
- Download all of patient pumps/CGMS in preparation for incoming appointments, prepares provider chart notes
- Answers live calls on nurse line and routes message to appropriate Triage Nurse/Triage MA; returns voice messages from pumps line.
- Gathers and prepares provider chart note daily.
- Prepares lab and imaging reports daily for upcoming patients.
- Assist with floor MA and other Triage Support duties including CGMS initiation/insulin Pump Process
- Assists with processing incoming faxes.

Drug Sample/Drug Rep Management_
- Acts as the location point of contact for all drug reps.
- Informs drug reps of drug sample needs and coordinates delivery.
- Maintains the drug sample closet and inventory.

Faxes/Mail_
- Collects and routes electronic and paper faxes to appropriate department folder or employee.
- Routes provider mail noting last visit information.
- Scans documents into the patient file.
Triage Medical Assistant functions:
- Triages all patient phone calls for assigned provider(s).
- Actively listens to patients’ medical concerns, asks additional questions to assess need; follows protocols to determine next steps. Works with provider(s) on all pertinent situations. May request emergency appointments for patients.
- Assists walk-in patients with medical questions and needs.
- Communicates with patients via the patient portal.
- Assists practitioners with the initial prescription process, including specialty medications. Communicates with insurance or pharmacy as needed. Approves replacement prescriptions and provides patient samples.
- Orders labs for patients as requested by practitioner.
- Orders and coordinates specialty procedures including Cortrosyn Stimulation and OGT tests. Manages prior authorization process for specialty procedures.
- Provides intramuscular and subcutaneous injections.
- Completes any prep work needed for patient appointments. Explains procedures to patients.
- Charts all patient interactions in the EMR system. Corresponds with providers and coworkers via Taskman for patient needs.
- Assists providers with biopsies.

Additional Non-Essential Functions:*
- Occasionally assists with moving and lifting patients up to 50 pounds.
- Collects and processes items from assigned provider outboxes.
- Assists patients with paperwork requests and with information regarding medication and supply assistance.

Education & Experience Requirements:*
Required:
- 3 years of prior experience as a Medical Assistant
Preferred:
- Graduate from an accredited Medical Assistant program; Certified or Registered Medical Assistant credentials; 5 years of prior experience as a Medical Assistant
- Prior triage and Endocrinology and/or Diabetes experience
- Prior MA experience w/ Texas Diabetes & Endocrinology (2 + years)
- Bilingual in Spanish
