Job Description
PRIMARY PURPOSE
Biotechnology Innovation Organization (BIO) is the world’s largest advocacy association representing member companies, state biotechnology groups, academic and research institutions, and related organizations across the United States and in 30+ countries. BIO members are involved in the research and development of innovative healthcare, agricultural, industrial and environmental biotechnology products. BIO also produces the BIO International Convention, the world’s largest gathering of the biotechnology industry, along with industry-leading investor and partnering meetings held around the world.
This position will support the Events Operations Department (EOD) and specifically the Registration & Customer Care division for all events, as well as provide general registration and customer service for conferences and meetings, programs, and international efforts assigned to the EOD throughout the year. An ideal candidate is responsive, thoughtful, self-directed, positive, and can communicate effectively and efficiently.
ESSENTIAL RESPONSIBILITIES
The responsibilities include, but are not limited to:
Gaining and maintaining a complete understanding of registration processes and policies associated with all events assigned to EOD.
Acting as the first point of contact and provide basic Registration & Customer Care for all events managed by EOD, including but not limited to emails and phone calls.
Assisting with onsite registration for the BIO International Convention and other assigned events to include training temporary staff, attendee intake, and badge & materials distribution.
Providing pre-event registration and administrative support for all events as assigned from BIO’s event portfolio.
Creating and distribute invoices for events. Following up on outstanding invoices with attendees or the appropriate team lead(s). Report any difficulties or challenges in collecting balance-due payments.
Responsible for creating individual and bulk purchase invoices through the organization’s association management system.
Managing special badge creation, production, and distribution for staff, security, consultants and other unregistered individuals.
Assisting the Director with the writing and completion of appropriate SOPs for all events as needed and requested.
Maintain historical data for registration and customer service.
Supporting the Manager and Director in the management of the Customer Success Associates (CSA) for the BIO International Convention to include developing instructional materials and assisting with training efforts relative to general and exhibitor rules/regulations, event software/applications, and booth partnering.
Serving as a liaison between EOD and the Sales & Sponsorship Team on matters specific to registration and customer care.
Updating and maintaining registration lists for all events assigned to EOD.
Actively participating in solutions-oriented team meetings
Maintaining inventory of registration supplies and equipment.
General administrative support for Registration & Customer Care and EOD, and other duties as assigned.
REQUIRED BACKGROUND, EDUCATION, AND SKILLS
College degree or equivalent years of experience
2+ years of related work experience
Non-profit or membership organization experience a plus.
1+ years of registration/exhibits/trade show experience preferred. Familiar with general database applications (Fonteva or similar membership database management preferred).
Excellent customer service and written and oral communication skills.
Proficient in Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint
Comfortable with database and web applications
Strong organizational skills and attention to detail with the ability to manage deadlines, prioritize workload, and quickly adapt to changing needs.
Proactive, assertive, self-motivated and requires little supervision.
Comfortable in a team-oriented environment.
Ability to travel to several BIO conferences annually, which could be 10%-15% of work time.
