Job Description
The record specialist is responsible for maintaining student records, transcript processing and delivery, data entry, and corresponding and communicating with students and the college community.
ESSENTIAL FUNCTIONS
1. Provides information to all College constituents by answering questions and requests via telephone, face to face contact, and e-mail as inquiries come in to the department.
2. Processes transcripts from paper applications and electronic applications through the National Student Clearinghouse.
3. Maintain student permanent files.
4. Prints and files final transcripts of graduated students and students who have left FSC for archives.
5. Oversees proper disposal of student records from the Registrar’s Office, the Admission’s Office and the Evening Admission’s Office.
6. Prep and merges files from the Admission’s Office at the start and end of each semester.
7. Merges advising and permanent folders after graduation.
8. Makes address and name changes to student records.
9. Compiles information from transcript requests for the President’s weekly report.
10. Responds to requests to provide appropriate documentation related to student records.
11. Handles diploma reprints upon request.
12. Processes Apostils
13. Assists with mail processing, answering phones, and helping visitors.
14. Contributes to the success of the department by performing all other duties as needed to drive the vision, fulfill the mission, and abide by the values of the College.
EDUCATION AND WORK EXPERIENCE
1. High School diploma or equivalent.
2. Three years of relevant, full-time experience providing data entry, typing, filing and customer service.
3. Working knowledge of Microsoft Office (MS Word, MS Outlook, Microsoft etc.).
4. Proficiency in Excel and basic computer skills
5. Excellent written and verbal communication skills.
6. Ability to multi-task and prioritize workload.
7. Attention to detail extremely important.
