Job Description
We are looking for an organized File Clerk to maintain and manage client files, as well as miscellaneous office tasks. You will organize paperwork according to an established filing system and digitalize all important documents. You will be expected to create and update files, keep the easily accessible, and well kept. A file clerk must be organized and possess a serious understanding of confidentiality and data protection. The ideal candidate will be skilled with computers, is detail oriented, can manage their time well, and thrives in a self-managed environment. The goal of a file clerk is to preserve the company’s records and manage paperwork effectively.
This is an entry level position. The starting wage is $16.50 per hour or based upon experience. Candidate will be on a 90-day probation period with a review upon completion of 90 days. Responsibilities
- Check incoming paperwork (correspondence, invoices etc.) and make copies before distributing
- Sort all papers alphabetically and according to content, dates, significance etc.
- Create or update records with new files and information
- Store all paperwork in designated places securing the important documents
- Enter paperwork into an electronic system either by data entry or by scanning
- Accurate data entry for billing purposes
- Maintain an efficient filing system
- Follow policies and confidentiality requirements to safeguard data and client information
- Monitor inventory of files, paper clips etc. and report shortages
- Prepare enclosure letters to forward for filing or client review
- Prepare documents for recording in the appropriate county
- Prepare miscellaneous forms and logs for documentation or other purposes
- Prepare new files
- Miscellaneous office tasks such as organizing, revising documents, and taking inventory of office supplies
- Experience as a file clerk preferred
- Knowledge of filing systems
- Very good knowledge of office equipment such as photocopier, scanner etc.
- Very good knowledge of use of Microsoft Word
- Good command of English, both oral and written
- Dependable with a respect to confidentiality and policies
- Excellent organizational skills
- Great attention to detail
- Able to self-manage a consistent work load
- Professionalism
