PRIMARY DUTIES & RESPONSIBILITIES
The hiring range for this position is $25.90 - $32.38 hourly.
OVERVIEW OF POSITION / DEPARTMENT
The Training Records Support Specialist of the City of Aurora Police Department is responsible for the gathering, maintaining, archiving, and reporting of all training records. This position supports the department's training efforts and reports directly to the Training Bureau Command Officer.
Develops, maintains, verifies, and evaluates existing training records systems
Recommends and establishes new records management systems as needed
Prepares information for internal purposes that may be used for outside presentation at meetings
Receives and responds to requests for information, i.e., Colorado Open Records Act (CORA), City Attorney, and Internal Affairs, etc., requests for training records
Heightened responsibility for oversight, management, and reconciliation of member's training hours
Training manager for Learning Management System (LMS)
Develop reports for LMS compliance
Collection, archival, and audit of all department training lesson plans and supporting documentation
Manage Colorado POST reporting and compliance
Performs other related duties as assigned
UNIT SPECIFIC RESPONSIBILITIES
Identifies and reports discrepancies in training reconciliation
Works closely with training leadership in all duties and responsibilities
Processes documents and reports
Attend appropriate and necessary meetings, as required, to complete duties and responsibilities
May be privy to confidential legal documents and proceedings
May be called to testify to the integrity of the record-keeping process, the chain of custody, and the storage system
Complete ongoing paperwork requirements for P.O.S.T. certification
Perform Notary duties for the APD
MINIMUM QUALIFICATIONS & WORKING CONDITIONS
Education:
High school diploma or GED
Experience:
Three years of related experience in records management, including data entry, various applicable software applications, etc
Preferred Qualifications:
Preferred, but not required, previous experience working in a law enforcement or legal environment
Knowledge:
Knowledge of office practices and procedures
Manual and computer filing systems
Advanced knowledge of business English, spelling, and math
General office equipment and personal computers with related software applications
Microsoft Office Suite
Knowledge of Colorado POST recording and reporting procedures
Understanding of statutory requirements for law enforcement record keeping
Skills:
Efficiently and accurately key information using a keyboard and abilities in performing data entry
Strong interpersonal and organizational skills
Composition, grammar, and spelling
Demonstrate proficiency in computer applications, including word processing, spreadsheets, report generation, and maintenance of databases
Ability to present reports both internally and to external audiences
Abilities:
Establish and maintain effective working relationships with employees, citizens, and other stakeholders
Communicate effectively verbally and in writing
Understand oral and written instructions

Defensive Driving completed through COA within six months of employment
Essential Personnel:
When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
Physical Demands:
Medium work that involves moving no more than 40 pounds with or without assistance at a time
Hand/eye coordination to operate a computer keyboard
Vision to read and interpret reports, documents, and other written information
Frequent speech communication and hearing to maintain communication with employees and citizens
Occasional Standing/Walking- Occurs up to 31 minutes to 2.5 hours per shift
Work Environment:
Works primarily in a clean, comfortable office/cubicle environment with shared equipment
Equipment Used:
Frequently uses computer keyboard and telephone, fax machines, and copier
This position may require the incumbent to occasionally use personal equipment (e.g., vehicle, cell phone, tools, etc.) in the course of their employment
