Job Description
Snelling is recruiting for a full-time Accounts Payable/ Human Resources for a well-established company in the Homewood area. The starting pay rate is $16.00-17.25/hr, with a 1st shift schedule.
Position Summary:
The Human Resources/ Accounts Payable Assistant will be responsible for all processing of the accounts payable and assist in Human Resources functions as described below. This position also includes administrative duties and special projects to be assigned by the Human Resources/AP/Payroll Specialist.
Primary Responsibilities:
1. Review, enter, and process all accounts payable on a weekly basis
2. Maintain all accounts payable files including obtaining current W-9s
3. Independently manage all day-to-day activities related to accounts payable, cash disbursements, and ensuring accuracy and compliance with established procedures
4. Manage the agency's petty cash fund and credit card usage
5. Act as backup for payroll processing
6. Review applicants on Indeed and conduct initial screening for education requirements. Select candidates meeting requirements and communicate to Human Resources/AP/Payroll specialist for a second screening. Assist with other recruiting tasks as assigned
7. Assist in the creation and maintenance of all personnel files including off-site files as required by DHR licensing
8. Place HiTouch/office supplies orders on a bi-monthly basis, inventory orders for accuracy and completion, advise originator when supplies are ready
9. Assist the Human Resources/AP/Payroll Specialist with other Human Resources/accounting/administrative tasks as needed
10. Assist at fundraising and training events when needed
11. Provide quality customer service to all internal and external customers of the agency
12. Interact and maintain day-to-day communication with staff, directors, vendors, donors, board members, and volunteers
13. Follow agency procedures to assure reporting of suspected child abuse and/or neglect
14. React productively to change and handle all other work-related responsibilities as assigned
Qualifications:
1. A High School Diploma or equivalent with at least 2 years of administrative experience, preferably in the nonprofit or education arena.
2. Be able to successfully navigate nonprofit accounting software and have recent and relevant experience with spreadsheet, word processing, and database applications.
3. Proficient in Microsoft Office Suite particularly Excel
4. Excellent communication skills
5. Self-motivated to carry out responsibilities independently, pay close attention to detail and accuracy, and be able to meet deadlines
