FRONT OFFICER/BILLER:
IF you are applying for Front office/Biller position, you will manage all phases of Dental Wellness’ billing and revenue from initial patient enrollment, insurance eligibility, claims submissions/ management, tracking recall visits, and final payment collections.
This position works closely with the Front Office staff, Dentistry team, and Owner team, to ensure impeccable patient care coordination/tracking, accurate provider documentation, prompt payment collection, and minimal denials. In addition, this role helps train new front office employees and helps to answer any questions that they have regarding insurance, billing, patient chart documentation, and scheduling.
Success in this role comes from having immaculate attention to detail and being an efficient planner, team player, and empathetic manager who takes the time to train and motivate their team members.
ADMIN QUALIFICATIONS NECESSARY FOR CONSIDERATION:
YOU ARE KNOWLEDGEABLE AND TECHNICAL – You have deep knowledge regarding various revenue cycle matters such as insurance eligibility, insurance allowances, claims management, and payment collections. You share your expertise with others to help resolve issues and drive patient cases forward. You have a deep understanding of California’s Medi-Cal Dental Program (Denti-Cal).
YOU ARE ORGANIZED AND DETAIL ORIENTED – You pay careful attention when reviewing and submitting documentation. You proactively catch little details and errors and correct them to prevent delays in billing and insurance claims. You keep your workstation organized/clean and are the go-to person to find information and have systems in place to ensure that they are easily accessible for others.
STRONG INTERPERSONAL COMMUNICATION SKILLS AND PLANNING SKILLS – You know how to actively listen and communicate with a wide variety of patients and their family members, internal team members, insurances, and nursing home representatives. You listen carefully, and tailor your communication style to work best with different groups. You structure your daily responsibilities and priorities to work productively and efficiently to drive deadlines.
ESSENTIAL DUTIES MAY INCLUDE, not limited:
- Demonstrate a foundational understanding of our company revenue cycle, processes, procedures, the functions of various departments and how they communicate and support each other.
- Build a rapport with the Front Office, Owner, and Dentistry Teams.
- Thoroughly understand patient’s treatment plan options and cycles.
- Effectively manage and lead a growing team of patient care and billing coordinators conducting quarterly check-ins and annual performance reviews.
- Oversee the work of the billing team, to ensure payments are processed correctly for services rendered within 1 day.
- Oversee the work of the care coordination team to ensure that all our nursing home residents are being seen, recommended treatment plans are being followed, and company tracking is accurate.
- Manage the company’s electronic practice management system, assist the company in reviewing and deciding on a new system, and take a lead in the company’s paperless transition.
- Review provider documentation for accuracy and communicates issues with providers to correct errors and prevent future issues.
- Prepare and submit claims/NOAs ensuring maximum reimbursement for services provided.
- Prepare and submit TARs including necessary supporting documentation with accuracy.
- Review EOBs to ensure payment and receive denials.
- Ensure minimal denials from insurance as well as prompt payment.
- Communicate with patients, their families, and/or nursing home representatives to explain care and insurance issues, as well as obtain documentation when required.
- Answer incoming calls, providing excellent customer service, answering questions, and directing them to appropriate team members when necessary.
- Review denials from insurance and resubmit cases for approval.
- Work closely with Dentists to help them present treatment plans clearly, detailing the reason for the care, the type of dental plan, and the expected outcome.
- Contribute to Company’s positive and patient focused company culture, leading by example and encouraging all team members to collaborate, feel empowered to make decisions, and support one another for the best outcome.
- Act as a liaison between Dental Wellness and insurances. Stays up to date with changes, and other regulations discovered and relays information to ownership.
- Help train and hire new front office employees.
- Implement training methods to teach Dentistry team best practices in documentation.
- Attend applicable conferences and training events.
EDUCATION, SKILLS & EXPERIENCE:
- 5+ years’ experience within a Medi-Cal Dental (Denti-Cal) billing role required
- Expert level dental billing and insurance claim management skills/knowledge required
- Demonstrated leadership and people skills to manage and motivate team members required
- Demonstrated understanding of Medi-Cal Dental (Denti-Cal) treatment eligibility required
- Knowledge of healthcare reimbursement and billing procedures, dental coding, state regulations, and dental terminology required
- Compassionate and interested in helping seniors and special needs individuals required
- Strong written and oral skills required
- Strong attention to detail and thorough documentation skills required
- Strong communication, interpersonal and relationship building skills required
- Demonstrated ability to proactively approach problem-solving & strong planning skills required
- Excellent time management and multitasking skills required
- Prior experience within a mobile dentistry practice a plus
