SUMMARY
Performs reception and general administrative duties that include greeting visitors, operating telephone system, data entry, document scanning, filing, maintaining office/kitchen supplies and smock inventory and providing administrative support to departments as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Operates telephone console, receives incoming calls, and directs caller per procedure based upon nature of business.
- Greets and assists visiting guests and vendors.
- Accurate high volume data entry and document scanning.
- Accurate filing of recorded training documents.
- Maintain log and balance maintenance personnel credit card receipts to monthly credit card bill.
- Maintains and issues appropriate facility access fobs (if applicable), lanyard and name badges to visitors, vendors, and temporary employees.
- Ensures reception and conference room area is tidy and presentable, with necessary supplies and refreshments in conference room as needed.
- Update and maintain building conference room calendar by scheduling or updating meetings as requests are received and communicating scheduling conflicts or changes to appropriate parties.
- Monitors incoming faxes and directs as appropriate.
- Responsible for accurate inventory and order of kitchen supplies, maintains stocking of kitchen cabinets and drawers ensuring adequate quantity of kitchen supplies for employee use.
- Responsible for maintaining kitchen refrigerator and monitoring contents to ensure cleanliness and discarding expired, spoiled items or items left unused for extended periods by employees.
- Cleans and refills coffee pots and needed.
- Assists with food orders, decorations and set-up for meetings or other events as requested.
- Responsible for accurate inventory and order of office supplies and maintains office supply cabinet ensuring adequate quantity of supplies for employee use.
- Responsible for review and accurate weekly invoicing for cleaning of ESD smocks and designated rugs, delivery of applicable inventory, ordering new employee smocks and maintenance of smocks.
- Responsible for accurate inventory and order of coffee, coffee supplies and coffee equipment for GMS buildings.
- Accepts delivery of package containing payroll and delivers to HR personnel immediately upon receipt.
- Updates and maintains “Procedure Manual” for above Receptionist duties.
- Other duties as assigned.

- Must report to work at scheduled time and maintain satisfactory attendance with limited unscheduled absences
- Must be able to work on-site the standard 8AM-5PM, Monday – Friday schedule and overtime as required
- Minimum High school diploma or general education degree (GED) desired
- Minimum 2 years related office experience that includes high volume data entry and document scanning.
- Must have proficient computer skills utilizing Microsoft Outlook, Word and Excel daily with the ability to create accurate emails, documents and excel sheets.
