Looking for a Payroll / HR Manager to oversee and manage complex payroll functions, ensuring accuracy, compliance, and timely processing. This role involves analyzing payroll data, preparing reports, and collaborating with HR and Finance to maintain payroll integrity. The Payroll Senior Accountant will also handle audits, tax filings, and the resolution of payroll discrepancies while continuously improving payroll processes and controls. THIS POSITION IS NOT REMOTE/ IN-OFFICE ONLY.
Key Responsibilities:
- Payroll Management & Processing
- Oversee and process full-cycle payroll for all employees, ensuring compliance with local, state, and federal laws.
- Review and verify payroll data, including salaries, bonuses, overtime, and deductions.
- Ensure accurate and timely processing of payroll on a regular basis (weekly, bi-weekly, monthly, etc.).
- Payroll Accounting & Reconciliation
- Perform payroll account reconciliations, including payroll liabilities, tax withholding accounts, and general ledger entries.
- Prepare and post payroll-related journal entries in the general ledger.
- Reconcile payroll-related balance sheet accounts and investigate discrepancies.
- Tax Compliance & Filings
- Ensure accurate calculation, withholding, and reporting of payroll taxes, including federal, state, and local taxes.
- Prepare and file quarterly and annual payroll tax reports (e.g., 941, W-2, 1099).
- Stay updated on changes in tax laws and ensure compliance with new regulations.
- Audit & Internal Controls
- Lead payroll audits, ensuring that payroll processes meet internal controls and regulatory requirements.
- Work closely with internal and external auditors to provide payroll documentation and reports during audits.
- Develop and maintain strong internal controls to ensure data integrity and prevent errors or fraud.
- Reporting & Analytics
- Generate and analyze payroll-related financial reports, including variance analysis, headcount reports, and other key payroll metrics.
- Provide regular payroll data to management and assist in budgeting and forecasting efforts.
- Develop payroll analytics to identify trends and opportunities for process improvements.
- Benefits & Deductions Management
- Oversee the payroll-related aspects of employee benefits, including retirement contributions, health insurance premiums, and other voluntary deductions.
- Ensure correct calculation and disbursement of benefits and deductions during payroll processing.
- Systems & Process Improvement
- Work closely with IT, HR, and Finance teams to optimize and maintain payroll systems and software (e.g., ADP, Workday, SAP).
- Continuously seek opportunities to improve payroll processes, workflows, and efficiencies through automation and best practices.
- Employee Support
- Respond to and resolve complex payroll inquiries from employees, management, and external parties.
- Oversee on-boarding, recruiting, and training
- Experience mitigating legal actions
Qualifications:
- Bachelor's degree in Human Resources or relevant certifications required (Accounting knowledge preferred)
- 5+ years of experience in payroll processing, payroll accounting, or related roles.
- Certified Payroll Professional (CPP) certification is a plus.
- Strong understanding of payroll laws, accounting principles, tax regulations, and compliance requirements.
- Advanced knowledge of payroll software (e.g., ADP, Paycom, Workday) and accounting systems (e.g., Great Plains, SAP, QuickBooks).
- Proficiency in Microsoft Excel and other financial tools for data analysis and reporting.
- Excellent analytical skills, with attention to detail and accuracy in payroll reporting.
