ORGANIZATION:
Area Agency on Aging and Community Action Agency for Northwest Indiana, founded in 1965, the NWICA Mission is: To help people to be independent and advocate for those who can’t. We do this by helping individuals of all ages and families, through direct services and referral.
Serving residents in Lake, Porter, Jasper, Newton, Pulaski, and Starke Counties

FUNCTION:
Reporting to the Grants Supervisor/Manager, the Grants Management Coordinator is responsible for the development, coordination, expenditure tracking, billing, and submission of state and federal grant reporting to include preparing executive summaries, budgets, budget narratives and project schedules. This also includes oversight of invoice/billing processing in compliance with program requirements and the coordination with agency providers related to billing and reporting.
The Grants Management Coordinator is expected to be an active participant in the agency’s mission, vision, and values. He/she shall work to ensure consistent, quality services to the agency’s constituents, demonstrate enthusiasm, initiative, and flexibility in assignments and maintain positive working relationships with all agency personnel.
MAJOR DUTIES:
- Ensures compliance with State and Federal regulations, financial requirements ad guidelines; collaborates with all NWICA departments to ensure compliance and proper accounting of external and internal grant contracts.
- Ensure that all provider invoices are received, reviewed and processed in a timely manner.
- Work with providers to ensure that invoices are accurate and problems are resolved.
- Supports grant post award administration and management, including modification, funding analysis, deliverables tracking, and Grants reporting requirements.
- Ensures the accuracy, timeliness and quality of grant reports.
- Performs budget functions and statistical analysis; serves as a technical resource to program and finance staff on a variety of budgeting and analytical issues.
- Monitors documents for accuracy and compliance with Federal, State, and local policies and practices.
- Performs analyses, including research, data analysis, supporting documentation, notes, statistical tables, schedules and other supplemental information as required.
- Performs a variety of general accounting duties including account analysis, classification of costs and charges, reconciliation, and report preparation.
- Responds to grant inquires from NWICA departments, outside agencies; provides requested information and/or direct inquiries to appropriate personnel.
- Coordinates with providers on rant contracts and reporting requirements.
- Maintains and promotes relationships with the Division of Aging (DA) and Indiana Housing and Community Development Authority (IHCDA) fiscal and program staff.
- Cooperates and coordinates with NWICA senior management and managers to enhance internal and external communication to meet agency goals and objectives.
- Other duties as assigned by Management.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree preferred but not required or 1-3 years Grants Management experience.
- Knowledge of applicable Federal and State regulations.
- Understanding of low-income and elderly populations.
- Strong Excel skills required.
- Experience with accounting software is preferred.
- Bachelor’s degree or some college experience preferred but not required.
