Job Description
As an Executive Administrative Assistant you must possess initiative, structure, attention to detail, quality focus, high energy, and flexibility to a high-paced and growing organization. In this role, you will need to work well in a team environment, be able to represent the team with professional courtesy, acumen, and deliver flawless work output while prioritizing rapid fire requests.
Job Responsibilities:
- Maintain complex and detailed calendars
- Screen incoming calls and determine the level of priority, while using caution in dispensing information. Receive and distribute incoming mail/overnight packages
- Manage the coordination and logistics of both internal and external meetings
- Arrange and coordinate complicated domestic and international travel
- Events - manage client invitations and nominations. Organize all aspects for offsite conferences and external events, including catering and transportation
- Process invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter experts for policies and procedures
- Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
- Order and maintain office supplies and pantry items
- Ability to troubleshoot onsite tech issues and facilities maintenance (parking, requesting badge accesses)
- Managing Client Center calendar for internal and external meetings. Greet Client Center guests.
- Lead and coordinate on ad hoc projects as requested
Required qualifications, capabilities, and skills:
- Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint)
- Client Management skills and effective communicator (both written and spoken) with a tenacity to resolve issues and conflicts
- Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
- Good judgment and ability to make independent decisions about complex issues and solutions
- Strong interpersonal, written, and oral communication skills
- High energy and enthusiasm required to partner with multiple stakeholders across the bank
- Ability to multi-task and manage priorities effectively
- Tact and good judgment in confidential situations and proven experience interacting with senior management
- Ability to adapt to a rapidly changing business and technology environment
- At least five years of administrative experience ideally supporting at the Vice President level (or equivalent) or above
- Experience in the Financial sector preferred
