Job responsibilities
- Greets customers, vendors and guests.
- Determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Presents themselves professionally
- Answers, screens and directs phone calls to staff. Take messages as necessary.
- Perform clerical duties such as typing, proofreading, data entry, filing, photocopying, faxing and sorting mail
- Update company’s CRM in dealer software system
- Direct clients to lounge and refer clients to appropriate personnel for vehicle status updates
- Diffuse client concerns and direct them to the appropriate team member for assistance
- Monitor customer traffic by Salesmen
- Receives and distributes mail, documents, packages and courier deliveries.
- Provides support for inventory clerk and supporting team with scanning and uploading of new unit documents and photos for quick and efficient processing to our website and DMS.
- Performs other duties as assigned.
- Excellent verbal communication skills.
- Excellent interpersonal and customer service skills.
- Ability to operate a multi-line phone system.
- Basic understanding of administrative and clerical procedures and systems.
- Proficient with Microsoft Office Suite or related software.
- Strong organizational skills.
- Ability to work in a fast-paced environment with ability to manage multiple tasks and demands.
Education and Experience
- High school diploma or GED required.
- Previous receptionist experience
