Job Description
Job Summary
You will perform a variety of routine clerical and office support functions that help support all offices. NDGI's headquarters office is in Fargo, however, we have several offices in other states as well. We also have multiple sister companies you would be answering calls and questions for. You will be working closely with the data entry team helping with entering, as well as proofing the information that was already entered. You will also work closely with the Executive Assistant and Vice President performing a variety of clerical tasks. We are looking for someone who has a very bubbly and welcoming personality, as they will be the first person our customers see when entering our building. We are located right off I29 at 4150 98th Ave S., which is the Horace exit.
Hours:
7am -4pm Monday through Friday
During the harvest season (August through February), there may be days that are very busy where it would be incredibly helpful for this person to stay and help the data entry team. So coming in a little early and staying a little late may be requested.
Responsibilities and Duties:
- Operate internal phone networks to connect customers with the appropriate personnel in a professional manner
- Answer general customer inquiries and provide company information for multiple companies
- Take thorough messages when necessary and communicate urgent needs to the appropriate departments in a timely manner
- Perform clerical duties using general Microsoft Office Programs (Word, Excel, Outlook, OneNote, etc.)
- Assisting in other administrative/clerical tasks
- Work closely with the executive assistant on various projects
- Maintain general company files in compliance with company policies
- Daily data entry/proofreading
- Light cleaning and organizing of the front office area and bringing necessary fixes to the appropriate people’s attention
- Offer beverages to customers or interviewees waiting in the waiting room
- Help check office supplies to be sure they stay stocked up
- Retrieving mail multiple times a day and distributing those packages accordingly
- Scanning receipts and invoices to the accounting department
- Minor scheduling at the end of each day for multiple locations
- Ensure doors are unlocked in the morning and locked again at the end of the day
Qualifications and Skills
- Ability to work well in both team and individual settings
- Initiative to find next steps when done with a task
- MUST be dependable and self-sufficient
- Outgoing and personable attitude
- Great customer service skills
- Basic computer skills/knowledge are very important
- At least 1 year of Receptionist work experience is helpful
