Job Description
PERFORMANCE RESPONSIBILITIES: 1.Performs general clerical functions including, including but not limited to: a.Greets students and visitors and answers telephone calls pleasantly and efficiently, communicating effectively in routine, sensitive, and confidential matters.b.Maintains a high level of confidentiality for information within the Student Support Services Department.c.Maintains and organizes files as appropriate.d.Maintains a schedule of appointments for Special Education TEAM meetings, initials, team, progress, re-evaluation, transition, and manifestation meetings.e.Exhibits a positive attitude by acting as a role model for district employees, students, and the community that supports the mission of the district.f.Exhibits poise and self-control in decision-making and problem-solving relating to job assignments.g.Demonstrates initiative by recognizing the needs of the job and suggesting ways to improve efficiency and productivity.2.Maintains the district's special education files and database to ensure compliance with DESE requirements and serves as the district's Frontline registrar.h.Schedules annual, progress, re-evaluation meetings and notifies TEAM members of scheduled meetings.i.Coordinates the completion of Educational Assessments from all teachers of record providing educational instruction to a special needs student.j.Prints and organizes files for all Annual Reviews and Re-evaluations.k.Oversees the 688-referral / pre-ets process. l.Coordinates transition meetings with sending districts for incoming freshmen and establishes files before ETL meeting with TEAM.m.Schedules Manifestation Determination meetings and extends organizational support when a change of placement may be warranted. n.Obtains, organizes, and distributes pertinent data regarding special education students or programs, as requested.o.Maintains current program participation codes in the Student Information Management System (SIMS) for each special education student.p.Completes the SIMS Data collection report as required by DESE and submits it to the Director of Student Support Services for review. (October 1, March 1, June 30)q.Collaborates with the business office to support Medicaid Billingr.Keeps current with the ever-changing special education laws and regulations.3.Supports and collaborates with the student support services secretaries.4.Accesses student transcripts, and locker combinations, and supports students in need.5.Supports guidance staff as requested.6.Works cooperatively with staff in other offices with the completion of large or time sensitive projects or emergencies.
7.Works collaboratively with the Student Assessment Coordinator to provide accommodations information for student MCAS testing.8.Keeps informed about school and district activities, requirements of the law and policy, regulations, and other information necessary for the functioning of the office.9.Other responsibilities as assigned by the Director of Student Support Services.PHYSICAL ENVIRONMENT: This position may require long periods of standing and sitting. The individual may be exposed to ultra-violet lights as are found in computer monitors and copying equipment. The individual may be exposed to various hazards in the building.
