Sodexo is seeking an Executive Assistant that will support the President of Workplace – Corporate Services and Energy & Resources in the US. This position will work virtually in a home-based office. Ideal candidates will reside in Dallas, Texas market and should be flexible to travel 10-15%.

The ideal candidate will provide a wide range of support services to a senior executive to ensure efficiency and day to day activities run smoothly. Keeps him/her/they proactively informed and prepared for upcoming commitments and deliverables. Makes recommendations based on understanding the organization, business, our people, and procedures. Responsibilities can encompass organizational and administrative functions as well as project-oriented activities. Work typically involves handling confidential and sensitive matters. Serves as the liaison and bridge for smooth communication between department senior leaders, the wider team/manager’s direct reports and external audiences. Requires continuous use of technical and business vocabulary and detailed knowledge of company operations, organizational procedures, and personnel.
The successful candidate will:
- Oversee all administrative activities across the business as contact person/gate keeper between management, the wider team, and external partners/clients.
- Liaise with executives and senior administrative assistants to handle requests and make recommendations/decisions.
- Be responsible to safeguard information that is sometimes confidential.
- Manage an intricate diary across various time zones and countries, with ability to prioritize, make good decisions, manage adjustments, and time sensitive changes.
- Prepare reports, email correspondence, letters, forms as well as assist in developing presentations, reading, and researching information.
- Manage all expense reporting and other required business reporting in a timely manner.
- Take on ad-hoc project management, office management and event support.
- Organizes team meetings, events, and birthday/anniversary celebrations. Cross-functional planning within business including meetings and conferences including planning special company and functional events, which involve extensive event planning coordination.
- Creates all travel arrangements, including flights and lodging. Coordinates travel agendas and provides detailed itineraries to stakeholders.
- Monitors and adheres to all international travel regulations when organizing travel and processes necessary visas with accuracy.
- Creates, maintains, and updates reports to support the executive's decision-making process.
- Prepares presentations and other documents.
- Anticipates, prepares, revises, and sends correspondence on behalf of President.
- Serves as the subject matter expert for the department, identifying and solving issues that arise in the President's absence.
- Must have the ability to create, edit and proofread communications, accuracy and attention to detail is critical.
Is this opportunity right for you? We are looking for candidates who have:
- Associates Degree (or higher is preferred).
- 3 years of experience as an Executive Assistant supporting an Executive team member for a large matrixed for-profit company.
- Proficiency in MS Office.
- Strong organizational skills with the ability to prioritize.
- Excellent level of written and verbal communication.
Preferred candidates will have:
- Bachelor’s Degree preferred.
- 5 to 7 years of administrative experience with extensive working knowledge of general office practices supporting a CEO or President in a large matrixed for-profit company.
- High energy, proactive, positive, detail-oriented, self-motivated, and flexible, strong team player.
- Excellent organization skills with the ability to perform multiple tasks and handling competing and changing priorities successfully with little direction.
- Proven ability providing administrative support functions to executive and their Executive Leadership team by extension.
- Proven ability to work independently, but also an ability to collaborate across segments and region.
- Is a culture champion for the team and supports leaders and departments effectively sharing information, collaborating, and maintaining a high level of engagement.
- Collaborate with the team to support/organize activities, meetings, conferences, office space, etc.
- Possess a high degree of integrity when dealing with confidential and sensitive information.
- Able to work respectfully with individuals at all levels of the organization.
- Strong technology skills, including Microsoft Suite, virtual collaboration technology such as Teams, Zoom, Smartsheet's, Calendly, and enterprise networks.
