Job Responsibilities:
Accounts Payable Management:
- Process accounts payable invoices, ensuring accuracy and adherence to company policies.
- Match invoices with purchase orders and receipts, verifying quantities, prices, and terms.
- Prepare and process payments to vendors, ensuring timely and accurate disbursements.
- Reconcile vendor statements, address discrepancies, and resolve payment-related issues.
Fleet Management:
- Oversee the fleet management process, including vehicle maintenance, repairs, and inspections.
- Coordinate vehicle registrations, renewals, and insurance coverage.
Monitor fuel usage, mileage, and maintenance records for company vehicles.
- Collaborate with vendors to schedule routine maintenance and repairs, ensuring minimal downtime.
- Maintain accurate and up-to-date records of fleet-related expenses and monitor budgetary allocations.
- Data Entry and Reporting - Accurately input accounts payable and fleet-related data into the company's financial systems.
- Assist in the preparation of financial statements and other ad hoc reports as required.
Process Improvement:
- Identify opportunities to streamline accounts payable processes, reduce costs, and enhance efficiency.
- Implement best practices and recommend system enhancements to optimize fleet management procedures.
- Collaborate with cross-functional teams to improve overall financial and operational performance.
Compliance and Documentation:
- Ensure compliance with company policies, industry regulations, and accounting standards.
- Maintain proper documentation of accounts payable transactions, fleet records, and related documents.
- Assist in internal and external audits by providing accurate and timely information.
Qualifications:
- High school diploma or equivalent; post-secondary education in accounting or related field is a plus.
- Experience with Excel and related Microsoft Applications
- QuickBooks or similar software experience
- Proven experience as an accounts payable clerk or in a similar role.
- Knowledge of accounts payable processes, financial systems, and general accounting principles.
- Familiarity with fleet management, including vehicle maintenance and regulatory requirements.
- Strong attention to detail, accuracy, and problem-solving skills.
- Proficient in using accounting software and MS Office applications.
- Excellent organizational and time management abilities.
- Effective communication skills, both written and verbal.
- Ability to work independently, prioritize tasks, and meet deadlines.
