Job Description
The Executive Assistant provides daily, high-level administrative support to the company's CEO. This position aims to provide instant administrative relief allowing the CEO to focus on company initiatives and operations. Clerical tasks require a broad range of administrative skills, self-direction, and proactiveness. The EA is responsible for learning and implementing KS2 best practices and methodology while creating a systematic, routine environment where structure and protocol exists to provide an efficient and orderly environment for the CEO.
The EA's role requires a high level of patience and a sense of urgency. As some work is self-directed, they should possess the skill to navigate situations both deadline-oriented and ambiguous. Attention to detail is a must. The EA will benefit from experience working in a startup environment where adaptability to change and growth was exercised. Additionally, having worked with C-level executives, their communication must be succinct and capable of producing decisive answers.
Job Requirements
Hours are Monday - Friday, 8:00am to 5:00pm CST
Must live in the DFW are and be willing to work onsite as needed
EA must be available during CST business hours and as needed for special events
Immediate communication and availability during business hours is mandated
Respond to event changes, same-day issues, short-notice items immediately/with urgency
Adheres to strict confidentiality guidelines
Resiliency to a fast pace is key to your success in this position. May be asked to travel a few times per year to company conferences, events, and assist the Executive with coordination.

Job Tasks
Calendaring
Following guidelines to maintain a coordinated calendar inclusive of work and personal events
Acting scheduling liaison between external parties and executive
Schedule forecasting
Maintain uniformity, schedule reminders, include details
Account for multiple event time zones
Prioritize events according to EOS, strategic time management protocol, and executive's preferences
Travel
Field change requests
Incorporate itinerary in planning
Register for events and conferences
Research special events for entertaining clients/staff
Research/make dinner reservations
Handle all travel logistics
Purchasing
Miscellaneous purchasing: employee and holiday gifts, office supplies, travel items, conferences, memberships, flights, etc.
Data entry in OpenAir: Collect and enter receipts
Miscellaneous
Draft correspondence and documents, as needed
Update protocol documentation as it changes
Assist with Town Hall/All Hands presentations
Assist other departments with miscellaneous clerical requests, as directed
Coordinate company-wide events (virtual and in-person)
Undertaking special projects and other duties as assigned
