POSITION DESCRIPTION:
The primary function of the Client Service/Experience Administrator (“CXA”) is to ensure that Grey Ledge's (GLA) high level of client service expectations are met at all times. The function is both a client facing, and an internal facing, administrative position. Client facing responsibilities typically revolve around responding to miscellaneous client-initiated service requests (money movement requests, address changes, etc.). Internally facing functions include providing support to GLA client facing officers in all aspects of the relationship management process, new client on-boarding and the collecting and maintenance of data for our internal reporting systems.
GENERAL DESCRIPTION OF DUTIES:
Process various client requests (money movement, address changes, etc.) as necessary.
Scan and upload documents to custodial platforms (Fidelity, Schwab), electronic client files, and/or CRM system as appropriate.
Deposit checks into client accounts via scanner/upload and maintain check blotter.
Lead/Assist in the onboarding of new client relationships:
Provide clients with all appropriate forms and notices (pre-filled if necessary) via DocuSign or Adobe
Scan/upload signed agreements
Maintain on-boarding database
Update/correct custodial platforms as necessary
Respond to client/colleague questions regarding the process
Alert Advisor when funds are received for investment
Assist in 401(k) plan administration with retirement plan clients
Responsible for processing 401(k) contribution transmittals weekly involving electronic funds transfers
Verify custodial platform entries between accounts
EXPERIENCE REQUIRED: One to three years of experience in a professional office environment. The candidate must possess strong phone skills, and maintain a professional appearance, demeanor and attitude as the first impression to employees, customers and vendors. The candidate must be dependable and have the ability to multi-task and work in a fast-paced environment, handling phone calls and an ability to work independently. Proficiency with MS Office Suite: Word/Excel/Outlook is required. Banking or financial services industry experience helpful, but not required
EDUCATION: A four-year college degree is preferred but would also consider alternatives would be (1) A two year college degree or (2) Completion of a specialized course of study at a business or trade school.
