Job Summary:
The Associate Director of Admissions (Hawai?i Region) is critical in attracting and enrolling undergraduate students to support the University's mission. With a focus on data-driven strategies, the Associate Director collaborates with the Director of Undergraduate Admissions to develop and execute effective recruitment plans, manage the admissions process, and oversee on-campus and virtual events. Responsibilities include managing recruitment areas, determining eligibility for acceptance, counseling prospective students, coordinating admissions events, and serving as the primary point of contact for the CRM system.
Qualifications:
Minimum Qualifications:
Four years of work experience in student recruitment, university admissions, public relations, or related experience
Event planning experience
Familiarization with an enrollment CRM
Bachelor’s Degree
Demonstrated computer proficiency, including Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Teams)
Excellent verbal and written communication skills
Able to travel, as necessary, for extended periods ranging from several days to several weeks at a time
Experience working with teams, and professional presentation and public speaking skills
Desired Qualifications:
Master’s degree
Staff/employee management experience
Experience in recruitment, marketing, web and social media
Experience in Ellucian Banner and/or Salesforce/Target-X
Experience in higher education administration in the private sector
Other Qualifications:
Report to work obligations to support the department and may require work during HPU holidays as necessary
Must meet training and background check qualifications and comply with the Protection of Minors policy
Must have reliable transportation to all HPU worksites and other locations as required by the position
This position may also require driving responsibility for an HPU vehicle and must meet training and background check qualifications and comply with HPU’s Vehicle Driving policy
The successful candidate will be able to work in an environment that utilizes excellent time and stress management skills
Must be flexible, willing to work evenings and weekends, able to multi-task, and enjoy speaking in public and to large groups.

Key Responsibilities/Essential Job Functions:
1. Recruitment of students and admissions process (40%)
Responsible for the management of assigned recruitment areas in Hawai?i, associated travel, and review and processing of application files.
Collaborate with the Director of Undergraduate Admissions on the execution of effective recruitment strategies informed by data to enroll students from Hawai?i that support the University’s mission.
Collaborate with the Director of Undergraduate Admissions on the creation of a comprehensive local recruitment budget that is based on past enrollment analysis as well as current and future trends and opportunities.
Determine eligibility for acceptance into the University based on information provided in each student's file.
Counsel prospective students and families about admission, financial aid, scholarships, registration, academic programs and student life at the University.
Develop and implement timely and efficient written and electronic correspondence with the applicant pool.
Meet expectations of phoning, email, and social media campaigns to prospective students and parents.
Responsible for interpreting financial aid offers to provide prospective students with accurate information and counseling concerning financial need.
“Counselor of the Day” – Participate in the rotation to assist with walk-in visitors and phone calls from prospective students and families.
2. Planning, managing, and executing all campus-based, and virtual undergraduate admissions events (30%)
Coordinate all aspects of admissions events, both on-campus and virtual. This includes selecting suitable dates, securing the appropriate venues, arranging necessary equipment and supplies and ensuring all logistical details are organized.
Directly oversee the smooth execution of all on-campus and virtual undergraduate admissions events from start to finish. This entails managing event timelines, coordinating with various campus stakeholders, and ensuring that all necessary resources are available and utilized effectively.
Collaborate with the Director of Undergraduate Admissions, the admissions team, and University Marketing, to create compelling event content that highlights HPU’s unique features, academic programs, campus life, and student success stories.
Implement mechanisms for tracking and evaluating event effectiveness. Collect attendee data, survey feedback, and other relevant information to assess the impact of admissions events on recruitment efforts.
3. Primary point of contact for the Customer Relationship Management CRM system (Target X) within the admissions team (25%)
Provide comprehensive training and support to admissions staff on Target X functionalities, processes and best practices. Act as a resource for troubleshooting issues, answering inquiries, and offering guidance to maximize the use of Target X for effective admissions operations.
Collaborate with the admissions team to customize and optimize the Target X system to meet the specific needs of the admissions process. Configure workflows, design data entry forms, and implement automation features to streamline admissions operations.
Work closely with Admissions Operations, IT personnel, and external vendors to streamline processes and facilitate seamless data flow between systems.
Develop and maintain a comprehensive documentation, user guides, and training materials related to Target X. Keep resources up to date to facilitate ongoing training, knowledge transfer, and onboarding of new admissions staff.
Actively seek feedback from admissions team members and other users of Target X. Identify areas for improvement, gather user requirements, and work with relevant stakeholders to implement enhancements that optimize system usability and efficiency.
4. Other (5%)
Develop and recommend the formulation of departmental goals and objectives to ensure teamwork, productivity and professional growth and development in the department.
Responsible for preparing, maintaining and updating assigned sections of the Admissions Office manual in keeping with the mission of the University.
Actively participates as an effective member of team by completing assigned duties, accepting additional assignments or reassignments.
Assists with seasonal peaks.
Perform other related duties as assigned.
