THE SALVATION ARMY WESTERN TERRITORIAL HEADQUARTERS
DEPARTMENT: COMMUNITY RELATIONS AND DEVELOPMENT
POSITION TITLE: DONOR DATA MANAGEMENT COORDINATOR
STATUS: FULL TIME/NON-EXEMPT

SCOPE OF POSITION: The Donor Data Management Coordinator will, under the direction of the Territorial Donor Data Management Director, provide CRD services to the field through data audits, processing data for the Territorial Finance Department and divisional donor management departments, assisting the territorial trainer with training database maintenance and training documentation, supporting the field with account issues, as well as maintain schedules for the merge tool in Portfolio.
EDUCATION AND WORK EXPERIENCE:
1. Minimum five years office experience.
2. Two years’ experience in the effective use with a donor software system.
3. Experience providing data audits and accounts issues support.
4. Experience in Donor Management.
5. Experience doing data entry into a CRM or ERP system.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Answer and process incoming inquiries from internal and external sources.
2. Participate in providing telephone coverage for the CRD department.
3. Assist with both ongoing and special Community Relations Department projects.
4. Cross-train in duties of other Community Relations Department personnel.
5. Communicate daily with Territorial Donor Data Management Director regarding messages, information sharing and to receive instruction and guidance on work to be completed.
6. Serve as THQ liaison for Direct Marketing / Donor Management section.
7. Maintain Direct Marketing / Donor Management files.
8. Process Direct Marketing / Donor Management invoices for payment.
9. Provide the Direct Marketing / Donor Management section with administrative and clerical support, including but not limited to expenses, mail, scheduling meetings and taking / transcribing minutes.
10. Process Gifts for the divisions –
· Gifts received from outside the territory that contain donor / donation information, but no cash (disasters outside of our territory).
· Gifts processed through third party sites such as RAZOO, Network for Good, etc.
· Gifts requiring special processing (creating scanlines and working with lockbox vendor) where it involves multiple divisions (Target, Walmart, JC Penney’s, etc.).
11. Reporting –
· Assist the Territorial Donor Data Management Director with data audits to ensure accurate reporting.
· Comparing vendor information to data in Portfolio by ensuring use of correct schema, verifying that promotions have been uploaded, source codes have been properly linked to lots in the Campaign Management System (CMS), and costs are entered.
· Run reports from the Portfolio Donor Management System as requested by THQ Community Relations and Development staff.
· Review monthly donor report subscriptions that fail and forward to division for review
12. Database Support –
· Coding (fund codes, package codes). Maintains code tables and the integration between donor management system and finance system.
· Maintain Service Center information (Officer changes, address / phone updates).
· Maintain acquisition list. Work with vendors to update list, assign codes and convey information back to vendors and to the divisions.
· Process consolidated files and distribute to the field (Blackbaud, Cybersource, Mobilecause, Go Payment, etc.).
· Maintain training database. Update records to reflect user attendance at training sessions.
· Support development application users. Create new users, assist with locked accounts, troubleshoot for various user issues and escalate if necessary.
· Triage all service desk tickets within pervue of the Donor Managements team responsibility (Portfolio, Blackbaud, Egistics, Cybersource, etc.). Assign tickets to the appropriate person.
13. Maintain and update the Zipcode database, ensuring that it has the most current information.
14. Process various matching gifts received, either electronically or by hard copy mail at THQ. Processing to include, verification of gift match by searching Portfolio for original donation, forwarding hard copy matching gift checks to THQ Finance for processing through CDS Lockbox. Follow through with divisions / matching gift companies to troubleshoot issues surrounding matching gifts, donor records, etc. Maintain accurate electronic and hard copy files for each matching gift company / donor.
15. All other duties as assigned by the Territorial Executive Director of Development, and Territorial Donor Data Management Director.

6. Must be able to comprehend assignments and ask for additional information or clarification until the assignment is understood.
7. Must demonstrate dependability by arriving and leaving work on time, by taking the allotted time for lunch and breaks and by limiting personal telephone calls and socializing to break periods.
