Job Description
We are seeking an AP Specialist to join our Finance & Accounting team. Reporting to the AP Supervisor, this role will work alongside the other specialists to handle full-cycle, high-volume AP. We are seeking an entry level, highly motivated and organized individual, with creative problem solving skills. Specific Responsibilities
- Manages expenses by processing invoices, reconciling customer accounts, and preparing check runs.
- Reviews all invoices for accuracy by reconciling the purchase order, receiving document, and invoices.
- Reviews all invoices for proper GL coding and job costing.
- Obtains appropriate documentation and approval prior to payment.
- Issues payments and manages expenses by receiving, processing, verifying, and reconciling invoices from vendors to the company.
- Pays vendors by monitoring discount opportunities.
- Prepares, prints and obtains signatures on all accounts payable checks.
- Verifies and reviews all vendor releases and joint checks for accuracy.
- Resolves purchase order, invoice or payment discrepancies.
- Ensures credit is received for outstanding memos.
- Maintains vendor accounts by reconciling monthly statements. Researches and resolves any outstanding balances.
- Completes credit applications for new vendors.
- Verifies federal ID numbers, maintains W-9 records, and prepares 1099 reports for year end.
- Maintains company’s Fleet paperwork including DMV processes.

- Ability to learn new software quickly.
Education & Experience Requirements
- High School diploma required
- Associates or Bachelor’s degree preferred
- Construction experience a plus
- Strong accounting system capabilities with ability to learn new software quickly
- Google suite experience preferred
